Madison Ballet seeks an outgoing individual who will provide essential support for the organizationâs administrative and artistic staff, ensuring we exceed the expectations of anyone who walks through our doors. The Front Desk Associate is the front line customer service person who greets and assists students, families, and guests at the School of Madison Ballet, a premier dance program and the official training institution of Madison Ballet. Daily activities include answering the phone, managing guest requests, cash/credit card transactions, and closing the studios for the evening.
Successful candidates should possess a strong sense of individual responsibility and will have the ability to comfortably work in a fast-paced environment while maintaining attention to detail. This role is an ideal entry point for a candidate eager to learn about the day to day operations of a professional performing arts organization in a supportive and progressive environment.
Position Title: Front Desk Associate, Part-time 10-15 hours/week.
Reports to: Education & Outreach Coordinator
Responsibilities
General office/administrative support, including: answering phones, managing messages, customer service (in person or via email), filing, light cleaning/housekeeping, processing outgoing mail, enrollment,etc.
Greet and manage walk-in visitors, providing school or other information
Answer main Madison Ballet phone line and direct callers
Process registrations and payments for the School of Madison Ballet
Communicate periodically with school staff and families (via handouts, emails, phone calls)
Maintain a clean and orderly front desk and lobby space
Close the studio on assigned evenings, including: light cleaning, clearing spaces, locking doors
Other duties as assigned by the Managing Director or School Director
Required Skills
Customer-focused
Excellent interpersonal skills; energy for establishing new relationships and comfort level with meeting/calling new people
Must be available for weekday evenings and Saturday mornings (as arranged with supervisor)
Basic user skills with Microsoft Word, Excel, Google Calendar, Gmail
Outstanding communication skills (oral and written)
Accurate cash handling
Ability to plan and manage time independently; strong problem solving skills
Active participation in team meetings; willingness to share feedback with peers and supervisor and to ask for help when needed
Desired Skills
Advanced skills in cloud-based file-sharing systems, e.g. Google Drive, Dropbox, or similar
Knowledge of or passion for the arts
Eagerness to adopt new technology
Education/Experience
Applicant must be 18 years or older. Minimum of High School Diploma. Comparable experience will be considered in lieu of diploma.
Compensation & Benefits
$10-$12/hour based on experience, paid monthly; approximately 10-15 hours per week. These hours will be done in the evening and Saturday mornings.
Free School of Madison Ballet classes for employee or immediate family. Complimentary tickets to Madison Ballet performances.
