Capitol Lakes, a beautiful and vibrant Continuing Care Retirement Community located in downtown Madison, is looking for a Receptionist Lead to assist with front desk issues, oversight, communication, reporting, and processes. This position is responsible for projecting an outgoing, friendly personality while meeting and greeting visitors as well as assisting residents and employees with their needs. This position directly supervises the Main Desk staff at Capitol Lakes. You will be directly responsible for managing a team that functions 24/7, and advanced customer services skills are a must.

How You’ll Do It:Create and distribute monthly schedule for all receptionist shifts. Schedule and provide training for new front desk employees.

Answer phone and provide information to caller or direct the call to the appropriate employees or resident. Receive inquiries and release information in accordance with established policies and procedures.

Provide assistance and information to employees, residents, and guests on a regular basis via phone, memo, fax, email, or in person.

Help provide security by screening all visitors and immediately report suspicious persons/information to Facility Services Director/Executive Director or others as needed.

Accept payment or bill accounts as necessary for additional services from residents and employees.

Greet and assist visitors and guests interested in residency. Provide brochures to visitors and ask them to complete form for Sales and Marketing Department.

Coordinate activities and services related to guest room reservations as needed.

Receive and send packages. Distribute daily mail the Postal Service is unable to deliver. Record information for incoming packages and notify employees or resident.

Record work requests in Maintenance Connection software as needed.

Maintain a current file listing of residents by name and apartment number, emergency phone numbers of all on-call personnel, department extensions, and key personnel.

Maintain and manage the database and all other systems for the resident Permission to Release Information forms.

Coordinate resident transportation for doctors’ appointments, travel, or community activities with Transportation department.

Prepare away lists of independent living residents who are away, in the Health Center, or at the hospital. Complete and turn in forms to the business office when a resident has returned.

Order office supplies, equipment and other items as necessary. Assist with the maintenance of office equipment and work with vendors on repairs as needed. Train and assist employees on use of office equipment. Record inventory and order administrative supplies.

Mentor other Reception employees by providing training, assistance, and limited supervision as directed by the Resident Services Director.

Coordinate Reception and Resident Services operations with the needs of other departments.

Fill any shift where coverage cannot otherwise be found.About You:Two (2) years’ experience in clerical office work, reception, scheduling, or a related field.

Prior experience dealing with the public regularly and ability to demonstrate restraint and professionalism in delivering customer service to residents and the public.

Prior experience in a position in which training and advisory functions were the primary role.

Ability to read, speak, write, and follow oral and written directions. Ability to fill out forms, keep accurate records, and submit reports.

Computer skills, including proficiency in Microsoft Office programs. Organizational skills.

Good phone technique. Knowledge of basic office equipment (multi-phone lines, fax machines, computers, typewriters, photocopiers).Help us keep our seniors safe. Proof of COVID-19 vaccination is a requirement for employment.
