GENERAL DESCRIPTION:

The Field Services Division of the Department of Corrections conducts pre-sentence investigations and supervision of adult probationers and parolees in a community setting. WDOC is seeking a candidate for a contract office support specialist position that would be responsible for performing a variety of routine and detailed clerical and administrative functions to further the overall office operations of the Gillette Probation and Parole Office. This position also necessitates consistent, professional interaction with staff, offenders, victims, the public, the judicial system, law enforcement, local organizations, and public/private service providers.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.

  • Responds to and appropriately directs a high volume of walk-ins; phone traffic and incoming/outgoing mail.

  • Performs specialized tasks and coordinates general office functions such as budget, legal work, administrative, property management, travel arrangements, procurement, personnel, information systems or fiscal duties.

  • Provides customer service to customers, clients, and staff and acts as a resource and explains rules and procedures to co-workers, customers and/or clients.

  • Applies knowledge of programmatic and administrative requirements.

  • Performs a wide variety of moderate to complex program and operational support duties.

  • Assists with the office work flow management process and responds verbally and/or in writing to requests for information.

  • Collaborates with criminal justice entities to obtain necessary information and materials pertinent to investigation and/or offender supervision efforts and coordinates and/or acts as a liaison between agency or work unit and other agencies.

  • Acts as a specialist in an assigned program area, performing the most complex technical duties.

  • Inputs data in a computer-based offender management system.

  • Collaborates with office staff to create, edit, revise and finalize a variety of legal documents for accuracy and appropriate dispersion within the criminal justice system.

  • Accurately maintains agency files and records; inputs data into databases.

  • Prepares reports; verifies computer systems, databases and coded data for accuracy.

  • Assists office staff with creating new files and preparing closed files to be archived.

  • Performs various supervision functions of offenders as needed, with the scheduling of appointments, alcohol/drug testing and DNA sample collection & maintaining chain of custody of all samples and refers customers/clients to appropriate supportive service agencies.

  • Monitors and maintains office equipment and supply inventory on an ongoing basis.


Qualifications


PREFERENCES:

Preference may be given to those with at least two years of work experience in an office environment.

Preference may be given to those with criminal justice exposure.

KNOWLEDGE:


  • Knowledge of applicable federal, state and local laws, codes, regulations and policies, technical processes and procedures related to the department.

  • Knowledge of the principles and procedures of financial record keeping and reporting, basic accounts payable and purchasing.

  • Knowledge of the principles and practices of employee supervision, training and evaluation.

  • Knowledge of techniques for providing a high level of customer service.

  • Knowledge of Microsoft Excel and Google programs

Necessary Special Requirements


PHYSICAL WORKING CONDITIONS:

  • Typically, the employee may sit comfortably to perform the work with walking and standing required occasionally.

  • This position would be considered sedentary work: exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

  • Typing/Repetitive motion on a frequent basis.

  • Communicating on a frequent basis.

  • The ability to perform an activity such as analyzing data and figures, viewing computer terminal, extensive reading.

  • May require some travel.

  • This position is at-will and may end at any time without notice. The successful applicant will be eligible for Health, Dental and Life insurance with the state contributing the single rate premium to offset costs.
