Description and Functions



GENERAL DESCRIPTION:

Great pay and benefits and a team environment! This position accurately processes accounts payable, accounts receivable, and performs related duties for state and client obligations. It requires close attention to detail and excellent problem-solving skills.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.

  • Perform accounts payable and receivable functions.

  • Audit documents for accuracy, prepare, code, and enter vendor payments, employee travel vouchers, and credit card entries into the WOLFS system.

  • Monitor vendor contracts and payments.

  • Interact with vendors for accurate statement balances and timely payments.

  • Resolve invoicing or payment questions with vendors in a timely and professional manner.

  • Maintain filing and electronic tracking systems such as WOLFS, CoWorker, Sage 50, and other financial systems to simplify record retrieval and ensure files are ready for audit.

  • Organize and maintain fiscal records for the time period required by state law, including storage and security of financial records.

  • Maintain documentation of accurate billing. Work with internal staff, state and federal agencies, and vendors to research client billing and payment information to ensure payment accuracy.

  • Ensure appropriate payments are processed from client accounts or state funds.

  • Coordinate and maintain client financial records and accounts. Work with facility staff to ensure clients have funds for personal needs and activities and to ensure compliance with the facility, state, and federal policies.

  • Prepare, analyze, and interpret fiscal information and carry out special studies.

  • Receive, handle, and process cash receipts into the Business Office.

  • Assist and direct staff with purchasing processes.

  • Maintain petty cash fund per established policy and procedures.

  • Complete audits and ensure compliance with all facility, Medicaid, Social Security, CMS, and state regulations and policies.

  • Prioritize all fiscal duties and exercise judgment in resolving fiscal problems.

  • Provide assistance to co-workers and other staff and perform other duties as assigned by the Accounting Manager.


Qualifications



PREFERENCES:


Preference may be given to applicants with experience in Accounts Payable for a government entity.

Preference will be given to those with experience working in an Intermediate Care Facility (ICF) or Skilled Nursing Facility (SNF) is a plus, especially in relation to business office operations.


KNOWLEDGE:


  • Knowledge of accounting and financial procedures.

  • Ability to analyze information and make appropriate decisions with minimal supervision.

  • Ability to maintain a strong level of accuracy and detail.

  • Skills in problem-solving at an excellent level.

  • Ability to process a variety of reports.

  • Skills in computer usage and a wide variety of applicable software applications.

  • Skills in data management and recordkeeping.

  • Skills in written and verbal communication.

  • Ability to work independently, organize workload, and meet strict deadlines.

  • Knowledge of Intermediate Care Facility (ICF) and the Skilled Nursing Facility (SNF) guidelines and requirements, especially as they relate to the accounting of client funds.



MINIMUM QUALIFICATIONS:

Education:

Bachelor's Degree (typically in Finance)

Experience:

0-1 year of progressive work experience (typically in Finance) with acquired knowledge at the level of an Accounting Technician

OR

Education & Experience Substitution:

3-4 years of progressive work experience (typically in Finance) with acquired knowledge at the level of an Accounting Technician

NOTES:

  • FLSA: Non-exempt

  • A background check, including the taking of fingerprints, will be completed through the Wyoming Department of Criminal Investigation, the Department of Family Services and the Federal Bureau of Investigation for every successful applicant.

  • Pre-employment drug and alcohol testing will be conducted on safety-sensitive positions. Drug testing will be conducted on any position if reasonable suspicion exists.
