About the Role

The Change Coordinator is a detail-oriented self-starter, a problem-solver, and a patient, process-driven team-player who is willing to ask, “How can I help?” The responsibility of this role is to be an expert in the GBCI change management process and procedures, to help coach others to use the process effectively, and to facilitate the processing of Requests for Change (RFCs) from open to close. The Change Coordinator is responsible for the classification and approval of assigned RFCs, delivery of change-related communication to the business and IT staff, configuration of the Information Technology Service Management (ITSM) software tools, making improvements to the change management process, and other duties as assigned.


A significant level of trust, credibility and diplomacy is required. In-depth dialogues, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance.

DUTIES AND RESPONSIBILITIES:


  • Change Management Process: Complete analysis, communication, decision, and documentation tasks. Coach and train Information Technology (IT) and bank staff on the change management process as needed. Determine process workflows by analyzing departmental procedures and interviewing administrators. Determine field requirements for each change request form to meet departmental needs. Design automated notifications to be sent to customers throughout change management process.

  • Facilitate and occasionally lead weekly Change Advisory Board (CAB) meetings.

  • Configuration Management Process: Complete analysis, communication, decision, and documentation tasks. Interface with Change Management, Problem Management, and Incident Management to provide configuration item details and status as requested. Perform configuration audits to check that physical IT inventory is consistent with the configuration management database and initiate any necessary corrective action.

  • ITSM Tool Configuration: Manage changes and incidents related to components of the ITSM software tool that are used for the change management and configuration management processes. Build and maintain change and configuration management process forms, and workflows. Assist Change Manager with configuring task automation using VBScript.

  • Adheres to information security policies and promotes information security within IT and among the banks. Supports the use of project management by contributing to project teams, completing assigned responsibilities by established milestone dates, and effectively communicating with the project team. Supports and promotes the use of ITIL governance processes, including incident, problem, change, release, and configuration management. Ensures that change orders are submitted for all changes made to the production environment, and that tasks are worked in a timely manner.

  • Must comply with all company policies and procedures and all applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Must complete the assigned online training courses and achieve a passing score by due date.

About You

QUALIFICATIONS:


EXPERIENCE:


  • Minimum of 1 year of ITIL Change Management or similar experience in process management is required.

  • ITIL v3 or later Foundations Certification or ability to obtain within 3 months.

  • Knowledge of or ability to learn HTML or a basic scripting language is preferred.

  • Customer Service experience is preferred.

  • Experience maintaining ITSM tool configuration preferred.

  • Knowledge of Agile and Lean IT methodologies is a plus.

  • Knowledge of a banking environment a plus.


EDUCATION/CERTIFICATIONS/LICENSES:


  • A two-year college degree or completion of a specialized course of study at a business or trade school equivalent to approximately 64 credit hours in an IT-related area of study, or equivalent combination of education and experience is required.


KNOWLEDGE, SKILL, ABILITY:


  • Thorough knowledge of various office software. Proficiency in Word, Excel, Visio, Internet Explorer, Email and Calendaring.

  • Information Technology terminology and operations knowledge.

  • Ability to clearly translate technical issues in simple non-technical terms.

  • Ability to learn, comprehend, retain and apply new technologies, technical information, techniques, and procedures.

  • Ability to conform to shifting priorities, demands, and timelines.

  • Ability to effectively prioritize and execute tasks under pressure and time constraints.

  • Ability to be persistent and perform follow-up.

  • Proven analytical and problem-solving abilities.

  • Advanced interpersonal, written, and oral communication skills.

WORK ENVIRONMENT: Must be able to routinely perform work indoors in climate-controlled shared work area with moderate noise.


Must be capable of occasional travel (less than 10 days per year) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities.

Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours or travel off site whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Must be capable of climbing / descending stairs in an emergency situation.


Specific lifting abilities required by this job include: Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.


Specific vision abilities required by this job include: The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.
