General Job Description

The Project Administrator is responsible for assisting in the project administrative needs to increase the company's effectiveness and efficiency.

Job Specific Responsibilities

 Maintain office files according to Project Manager and job

 Maintain electronic files according to job

 Create duplicate hard copy files as required for jobsite records

 Update document logs as filing is completed (i.e. letters of transmittals, outgoing correspondence, etc.)

 Data input (i.e. extracting data for job schedules, preparation of monthly progress billing form(s) for PM's use, material tracking / qty spreadsheets, etc.)

 Assist with submittal/O & M packages with binders, cover sheets, index, tabs, etc. for submission

 Run reports for GM reports & general accounting

 Contract drawing integration-Revisions to documents posted to hard copy sets, posting of executed RFI's to hard copy drawing sets, maintain drawing revision logs

 Scan closed projects

 Assist financial department in overbillings

 Assist Foreman in maintaining files in field, print and route missing files

 Ensure P.O. and subcontractor documentation is up to date (signed CO's, tracking info, ext.)

 Assist in day-to-day activities (i.e. return phone calls/ emails, etc.)

 Set up and monitor Quality Control Documentation

 Assist with Preparation of Purchase Orders

 Assist with Preparation of Sub Contracts

 Assist with Change Order pricing along with some takeoff pricing from vendors

 Print and distribute productivity reports

 Print and distribute productivity reports

 Drop off and pick up plans

 Fill out and compile documents when required for tax exempt forms, permits etc.

 Maintain updated Product library (including making an updated submittal database for the commodities and other materials we use on projects.)

 Type the punch lists with all the room numbers for each job

 Type panel schedules and device labels

 Update material tracking sheets as materials are received in the field

PROJECT START UP

 Review files according to policies and procedures

 Post contract drawings and addressing RFI's in a timely manner

PROJECT ORGANIZATION AND TRACKING

 Distribute and maintain current drawings, specifications, and product data with changes and clarifications

 Adhere and enforce company policies and procedures

 Responsible for a personal project log

 Maintain master list with materials, submittals, RFI, & to-do list

 Maintain RFI and submittal logs

 Assist with preparation of submittals

 Assist in getting materials released to jobsite

 Prepare weekly updates for material tracking

 Maintain contract documents, posting RFI's and change orders

 Adhere to contract documents

 Coordinate submittals by other trades

PROJECT CLOSEOUT

 Assist with preparation of O & M manuals

 Assist in submission of as-built drawings

 Assist in preparation of warranty documents

 Assist in tracking punch list and ensure items are complete

 Ensure job site files and office files are consolidated making a master set of files, scan to PDF for master job file

 Ensure all spare parts are turned over and signed, "received"

 Candidate must be self-motivated and flexible to accommodate changes in Weifield's business strategies

 Candidate must have computer knowledge that includes MS Office and Accubid

 Be accountable for decisions and actions
