Seeking a can-do, multitasking, problem-solving focused administrative professional to join our premier national law firm.The Office Services Assistant is responsible for a variety of office support functions; such as, ordering and organizing supplies, processing vendor invoices, producing copy/production work, maintaining common areas (kitchens/breakrooms), performing conference room setups, acting as primary information governance representative for the office and maintaining compliance with the firm’s record retention policies, moving and setting up computer hardware and executing basic troubleshooting under the guidance of Information Technology (IT) management, delivering and/or processing incoming/outgoing USPS and interoffice mail and vendor/courier packages, and providing assistance to the attorneys and legal staff as requested. Regardless of position, everyone here has a voice and the support is unparalleled.On a typical day you will: Serve as liaison and secondary point of contact for building management and office vendors; submit vendor invoices for paymentGeneral facilities maintenance duties; such as, minor furniture repairs or installations, coordination of service for lights that may be out, or special cleaning needs, etc.Prepare offices and workstations for new attorney and staff hires and/or for inter-office moves; includes box delivery and assistance with moving employee’s personal items to new spaceMaintain the

general appearance of the support services department (Office Services workroom), includes ordering and stocking of supplies, organizing workflow product, and cleaning the support services area in a routine mannerDaily check of printer stations, kitchens and pantries for cleanliness; restock supply inventory as neededAssist with any needed conference room setups for meetings throughout the workday (includes food/ beverage accommodations; moving tables and chairs; breaking down and cleaning up the rooms following meetings)Assist with copy/production work requests in the Office Services main-workroomAssist with planning and execution of office projects and programs, including IT rollouts; assist with determining and documenting the support impacts of new technology and planned software upgrades as requested; work non-business hours for application upgrades as necessary;Provide technical advice/support, troubleshooting assistance, and

problem resolution for PCs (both laptops and desktops), printers, applications, smartphones, telephones, remote access, and document transfersMaintain knowledge of hardware and software supported and how various departments, practice groups, and teams utilize them to support business processesServe as the primary Information Governance and Records custodian for the Anchorage office; create hard copy files as needed, request files from off-site storage, and maintain the firm’s record retention policy under the guidance of the Information Governance departmentSort and distribute incoming and interoffice mail; includes inbound express and courier materials and processing outbound express and overnight courier materialsMaintain a punctual schedule and regular attendanceOther administrative and support responsibilities as requestedJoin us if you have:Excellent interpersonal skills; dependable
