Reservations Manager / Group Coordinator

Summary of Position:

The Reservations Manager/Group Coordinator is responsible for overseeing and managing all aspects of individual and group reservations. This role ensures the efficient processing of bookings, exceptional customer service, and the successful coordination of Group reservations.

Essential Functions:

Oversee and manage the reservations team, ensuring accuracy and efficiency in handling individual and group

bookings

Train and supervise staff to ensure adherence to procedures and high-quality service.

Serve as the primary point of contact for group organizers, ensuring clear communication and addressing any issues

or changes promptly.

Audits upsell reservations and commissionable groups.

Provide exceptional customer service, ensuring a positive experience and resolving any concerns related to

reservations and group contracts

Work closely with other departments (e.g., front desk, housekeeping, catering, event planning) to ensure seamless

coordination and execution of group requirements.

Maintain accurate records of reservations, contracts, and payment transactions.

Handle invoicing, deposits, and payment collections related to group bookings.

Minimum Education:

High School diploma or equivalent

Minimum Experience:

At least 2 years’ experience in customer service with a background in the Hotel business. Knowledge of PC based word processing, and database programs are essential.

Skills/Abilities:

The ideal candidate for the position will possess strong organizational and multitasking abilities, ensuring that multiple group reservations are managed efficiently and accurately. Excellent communication and interpersonal skills are crucial for effectively interacting with clients and internal teams, addressing inquiries, and resolving any issues that may arise. Proficiency in reservation software and Microsoft Office is essential for managing bookings and maintaining accurate records. Additionally, the candidate must be adept at handling high-pressure situations and solving problems effectively, while maintaining a keen attention to detail and a commitment to providing exceptional customer service.
