Summary:ÂThe Administrative Support Specialist performs administrative tasks to support team leaders in staying as productive and effective as possible. The successful candidate for this role will have a high level of attention to detail, be task oriented, possess excellent communication skills, and be motivated to help others. Intermediate computer literacy is required, but no prior experience or training in any specific computer programs is necessary.

Responsibilities:

The Administrative Support Specialist performs a variety of administrative and clerical tasks. Duties include providing administrative and clerical support to managers, assisting in daily office needs and assisting with the company's general administrative activities. General responsibilities include the following tasks:

Completing electronic and paper forms, updating spreadsheets, data aggregation, generating reports.

Helping prepare for meetings.

Supply ordering and organization.

Filing and organization of paper and electronic documents.Â

Assisting management by scheduling appointments and events as directed.

Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.

Screening emails and phone calls and routing inquiries to the appropriate party.

Using computers to generate reports, take meeting notes, create presentations, draft documents, and conduct research.

Maintain polite and professional communication via phone, email, and mail.

Perform local expediting using a company vehicle.

Anticipate administrative needs in order to bring greater efficiency and productivity to the team.

Qualifications:

High school diploma or equivalent.

Current driver's license and driving record acceptable to our insurance carrier.

Accurately type 40+ words per minute

Communicate clearly and concisely, both verbal and in writing.

Excellent customer services skills by treating internal and external customers courteously, respond to their requests in a timely manner, and take responsibility to resolve issues.

Ability to apply critical and creative thinking skills to overcome obstacles, and solve problems.

Effectively manage competing priorities in a fast-paced environment while being organized and detail oriented.

Must have a consistent and reliable work ethic by adhering to work schedules and utilizing time efficiently in order complete assigned tasks within defined deadlines.

Must be a self-starter such as finding work to do between direct assignments, follow through with tasks, and take ownership and pride in work performed.

Must not use tobacco products.

Computer literate and proficient using spreadsheets (Microsoft Excel or similar).

Very detail oriented, accurate, and possess strong organizational skills.

Pass a drug test at any time.

Avilable to work at least 20 hours per week on a consistent schedule.

Authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future.

Successful completion of a pre-employment background and substance screening process including, but not limited to, employment verifications, criminal search and Motor Vehicle Record search as well continued verifications throughout employment to ensure that all records meet company policy standards.

Environment: The majority of the work is performed in a office setting. The work is generally sedentary, requiring routine walking, standing, bending and carrying items weighing less than 40 pounds. Occasional use of a company vehicle to perform errands around the Fairbanks area is also required.
