HYBRID ROLE - Chandler, AZWe are looking for an exceptional Senior Executive Administrator to partner with our VP/Director — someone who operates well beyond traditional EA responsibilities. You will serve as a force multiplier, combining top-tier organizational skills with a proactive drive to learn, automate, and solve. This role is designed to grow into a Chief of Staff position for the right candidate.If you are naturally curious, embrace emerging tools, communicate with confidence at all levels, and want to shape strategy as much as execute it — this role was built for you.CORE RESPONSIBILITIESExecutive SupportManage complex, multi-timezone calendars and proactively protect executive focus timePrepare briefings, pre-reads, and follow-up summaries for all key meetingsDraft, edit, and send communications on behalf of the executiveCoordinate travel, logistics, and agendas with precision and contingency planningHandle confidential information with absolute discretionAI & AutomationResearch, evaluate, and implement AI tools, workflow automations, and productivity systemsContinuously identify manual or repetitive tasks that can be automatedBuild and iterate on internal processes using tools such as Zapier, Make, Notion, or similarStay current on emerging technology and bring forward actionable recommendationsCreate documentation and training materials to embed new systems across the teamStakeholder & Communications ManagementAct as a trusted liaison between the executive and internal/external stakeholdersManage relationships with key contacts, partners, and leadership across the organizationTriage inbound communications, flag priorities, and draft responsesRepresent the executive with professionalism and appropriate authorityPrepare materials for board updates, executive reviews, and all-hands presentationsStrategic Planning & ResearchConduct in-depth research on markets, competitors, partners, and internal performanceSynthesize information into clear, decision-ready briefs and recommendationsTrack key initiatives and OKRs, flagging risks and progress to the executiveSupport quarterly and annual planning cycles with data gathering and coordinationOwn special projects end-to-end with minimal directionCHIEF OF STAFF GROWTH PATHThis role is structured to evolve. Within 12–18 months, a successful candidate will transition into a Chief of Staff capacity, taking on:Ownership of executive team rhythms (weekly syncs, QBRs, offsites)Cross-functional project leadership and accountability trackingStrategic initiative ownership, from scoping through executionActing as an operational extension of the executive in meetings and decisionsBuilding and managing a small operations function as the team grows
