Required Qualifications:

Must be able to pass a background check.

Must be drug-free and able to pass entrance and random drug screenings.

Demonstrate willingness to invest time in Service Titan training seminars and classes.

Ability to follow Office Safety Guidelines.

High school diploma or general education degree (GED)

Minimum 3 years of experience as HVAC Dispatcher & Customer Service

Computer skills required: Dispatching Program: Service Titan; Microsoft Office & general knowledge of Quickbooks

Expected Duties:

Answer phones, scheduling service & maintenance work

Dispatch Service Technicians, coordinating techs with projects by area & skill level, utilizing force dispatch process.

Dispatch field personnel as directed by Install Manager

Accounts for the scheduled work, maintains knowledge of the status of jobs throughout workday, tracking necessary follow ups with customer & Service Manager.

Communicates with customers, forward estimates for repair, notice of part availability, shipment date, current status & answering questions

Review service invoices for accuracy, correct tasks & business unit, etc

Payments/ process credit cards & collection calls to keep accounts current

Verifies warranties & extended warranties with manufacturers

Works with Service Manager to resolve customer complaints

Track & schedule residential maintenance as per agreement

Maintain Commercial Maintenance Agreement Log, scheduling of maintenances, tracking equipment deficiencies, necessary repairs, cleanings, filter counts & sizes

Create & email new agreements to Commercial Property Managers

Maintain/ update marketing & seasonal coupons via Service Titan

Respond to complaints utilizing Podium, working with Service Manager or Sales Rep, as appropriate to situation, to resolve issue & retain customers

Clerical duties include monitoring & managing pre-lien process for commercial projects, maintaining gas mileage logs, filing & other related duties as assigned by management.

Participate in team meetings, in service training, workshops, etc. for the purpose of conveying and/ or gathering information required to perform job functions.

Help train and Oversee level one Dispatchers as company grows.

Occasionally works around fumes / airborne particles

While performing the duties of this job, the noise level in the work environment is usually quiet but loud on occasion due to shop noise.
