Position Summary:

Under the supervision of the Refurbishing Supervisor, provides support by coordinating project activities related to all projects. The position’s main duties are to ensure the continuity and efficiency of each project from start to finish through clear communication to all parties involved. The Project Coordinator handles multiple projects and tasks within a fast-paced environment and is open to constant changes and challenges.

Major Duties:

Project Activities:

Once incoming residents have signed the life care agreement with Marketing, Project Coordinator will work closely with the Residency Counselor Specialist and assist with choices/modifications to the home. Residency Counselor Specialist will work with and communicate those choices to vendors and internal departments using appropriate documentation.

Resident Transfers. Coordinate with the Marketing team when current residents want to transfer into another Independent

Living home helping coordinate getting the home refurbished and ready for move-in.

Project coordinator will work directly with the resident for all 8 year re-do projects.

Attend any unit walk-thru with Residency Counselor and/or Refurbishing Supervisor during unit refurbishing to ensure project scope of work is accurate and complete before resident move-in.

Project Coordinator will work directly with the Assisted Living Manager for all refurbishing project requests.

Project Administration:

Works with the Refurbishing team, and other management; and assists them in all phases and aspects of a project to include but not limited to project proposals and invoices.

Ensures projects are scheduled correctly and that proper equipment and tools are in place prior to the beginning of a project.

Secures all necessary permits as requested by the Refurbishing Supervisor, and makes sure contracts, and certificates of insurance, are current and received before subcontractor performs any work on site.

Organizes schedules and manages flow of work within or between departments. Maintain accurate records of all information related to projects for documentation in Worxhub to include:

Track expenses and predict future costs.

Monitor project progress and address potential issues.

Coordinate quality controls to ensure deliverables meet requirements.

Walk and monitor all vacant units to ensure cleanliness and are show ready.

Measure and report on project performance.

Ensure work order tasks and purchase orders are completed and uploaded in a timely manner.

Acts as a liaison between the Marketing, Refurbishing and vendors to ensure project success.

Acts as planner/scheduler for all refurbishing projects. Works closely with Warehouse to ensure all project materials are in stock, ordered and staged on time.

Tracks the progress of all new and ongoing projects and maintains up-to-date notes.

Monitor and submit asset change forms. (New installation, transfers and retirement)

Responsible to track project changes and produces updated schedules, as needed.

Prepare and/or edit internal scopes of work, estimates, budgets, letters, faxes and memos.

Work under time constraints to meet specific timelines.

Must have construction trades experience and participate in construction activities as needed (i.e. plumbing, painting, carpentry, electrical)

Address questions/concerns throughout the project.

Participates in and demonstrates an understanding of safety principles and practices; follows all safety policies and procedures to support a safe working environment, including safe operation of machines and equipment.

Reviews master schedule and work orders, establishes priorities, and adjusts schedule according to projects, work order specifications, established priorities, and availability or capability of workers, parts, material, machines, and equipment.

Coordinates the project team's work efforts in harmony with competing priorities within company.

Provides guidance to assigned projects, ensuring objectives are accomplished within prescribed time frame and funding parameters.

Prepares and distributes project schedules, and sets deadlines to ensure timely completion of work.

Identifies issues for early resolution.

Determines and selects corrective action and workaround solutions whenever deviations from project plan are identified.

Keep appropriate team members informed on issues and remediation plans.

Ensures compliance to all applicable safety and health rules and regulations, company policies, and procedures.

Provides Facilities Director with recommendations for improving tracking, reporting, and monitoring of projects.

Assists in preparation of periodic management reports.

May attend meetings on behalf of Refurbishing Supervisor.

JOB SPECIFICATIONS

Knowledge and Skills:

Must have construction or service trades experience

Strong consensus building skills.

Excellent customer relationship skills.

Strong aptitude to work within deadlines

Excellent oral, written, presentation and interpersonal skills.

Strong computer and/or tablet/iPad experience with Microsoft Office programs such as Excel, Word, Outlook and Internet

An attitude of service is pre-requisite for the effective execution of support and assistance to Project Management

Organized, able to multi-task, think creatively and adapt to different situations.

Education and Experience:

High School diploma or GED equivalent required

Preferably a two year degree from an accredited college or university

Four years of progressive responsibility in administrative duties within a service environment; or a combination of education, training and experience that would ensure the effective execution of the duties of the job.

A firm understanding of job processing, tools and equipment necessary to complete a task, job, or project.

Has fingerprint clearance card or willing to obtain within 30 days of hire.

Facility Management Professional (FMP) or Certified Facility Management (CFM) certification or will be willing to acquire and maintain certification within 18 months of hire.

Continuing education classes to keep skills up to date and further education in facilities management.

Communication Skills:

Has outstanding communication skills; can dramatically and effectively communicate an overall vision of the enterprise to customers at all levels; importantly, can translate a vision of the organization’s future into practical, concrete specifics.

Has a clear speaking voice and is fluent in English.

Has ability to speak, work and interface with all levels of co-workers, residents, guests and employees.

Has ability to write routine reports and correspondence.

Demonstrates excellent telephone and customer service etiquette.

Physical Requirements:

Has a current valid Arizona driver’s license with a good driving record.

Can stand, walk, sit, reach, and bend.

Can work alone most of the time.

Can operate a fire extinguisher

Is able to assist in the evacuation of residents

Is able to stand for long periods of time.

Must be able to hear normal to raised voices and see 50 feet; prosthetics can be used for correction.
