Job Description

POSITION: Seasonal Activities Director (30 hours per week)

POSITION CLASSIFICATION: Seasonal

SALARY RANGE: $18k-$20k

HEALTH INSURANCE: No

REPORTS TO: SMR Board of Directors

EMPLOYMENT CONTRACT: Two (2) year Contract of Employment between Superstition Mountain Resort HOA and the employee, TBD.

GENERAL DESCRIPTION: Responsible for coordinating all Event planning in conjunction with the Activities Committee; approves scheduling for the use of the facility common areas; Chairs Activities Committee meetings and is the primary contact to the Park Manager and BOD regarding all SMR planned Events. In conjunction with the Activities Committee, solicits and trains volunteers for assistance with Special Events and other activities. Interacts with the Activities Committee to assist with their scheduling of Events, Entertainment, Sports, Crafts, Dances, Dinners or Luncheons; oversees provision of calendar information to the SMR Community and Website; works in conjunction with the Activities Committee to prepare the annual budget for Activities; manages financial data input; performs other duties as assigned.

Primary Responsibilities:

In assuming responsibility for the coordination of all SMR activities and Events, maintains a presence with the Activities Committee. This includes planning Sports, Entertainment, Crafts, Dances, Dinners & Luncheons.

Chair Activities Committee Meetings to coordinate the scheduling of all Events and activities.

Solicit and train volunteers to assist with Special Events and other activities that require set up and use of audio/visual equipment.

Provide final approval for all Activities Committee proposed Events.

Provide final approval of all Activities related expenses.

Manages and prepares Activities financial data and reporting of same to Manager, Board of Directors and Community.

Responsible for maintaining a balanced Activities Budget.

Responsible for Activities Checking Account, and be the primary signer of all checks issued from the account.

Maintain a high level of interaction with the office personnel.

Attend all Neighborhood Council and Community Meetings to disseminate upcoming or ongoing Event related activities and solicit volunteers for these Events and Activities.

Ensure that room set-up for all BOD Work Sessions, Board Meetings and Community Meetings, park-wide concerts, lectures, or presentations are attended to and properly arranged.

Produce fliers, posters, and/or tickets for Entertainment, Special Events, Educational Seminars, Dinners, Luncheons, etc.

Schedule and coordinate park wide Yard Sales, Craft Sales & Breakfasts.

Coordinate the use of and oversee the maintenance of the schedules & reservations for the Billiard Room, Cabaret Room, Library, Ballroom and Lobby and exterior Common Areas.

Obtain signed contract from all paid performers and/or instructors.

Will be the primary contact for SMR residents with regard to scheduling, modifying or reserving specific calendar events and Clubhouse rooms.

Prepare and revise as necessary, the monthly Calendar of Events for distribution to the Community and on the website. Ensure that the "White Board" is updated daily.

Adapt working schedule between mornings, afternoons and occasional evenings and weekends as needed to most effectively implement job responsibilities.

Additional Responsibilities:

Make copies, send faxes, and answer office telephones when requested.

Ensure compliance with SMR Rules and guidelines in the use of the facilities.

Cover the SMR Office during meetings and lunch periods when requested.

Cover the SMR Office during Park Manager's use of pre-planned PTO

Work some evenings and weekends as needed and requested.

Assist staff and volunteers in preparing Park Amenities for use by "returning residents".

Knowledge, Skills and Abilities:

Knowledge of accounting principals with the ability to prepare and oversee Budgets.

Verbal and written communication skills.

General knowledge of office practices and procedures.

Personable, friendly and helpful, excellent people skills. Strong organizational skills, oriented to detail and ability to multi-task.

Ability to accept direction and follow through independently.

Ability to maintain confidential information, (Will be asked to sign a Confidentiality Agreement).

Above average Computer skills. Must know Microsoft Office (experienced with Excel, Word, Power Point etc.)

Ability to provide direction, and support to Volunteers and Activities Committee.

Physical Demands of the Job:

Ability to sit up to 2-3 hours at a time, bend and lift up to 25-30 lbs., eg., assist moving and storing tables and chairs.
