Office Assistant / Project Coordinator
PART TIME TO START, approximately 24 to 32 hours per week. Hours may vary depending on workload. 90 day probation period, could lead to full time permanent position.
Maximum Fire Protection is one of the leaders for commercial and residential fire protection. We are looking for a “Can-Do” Office Assistant / Project Coordinator / Marketing person wrapped up in one to join our office team. Proficient in Excel, Word and Outlook. Must have a positive attitude and willing to help with any project. Ideal candidate would be looking for a long term position, be reliable and have all the experience listed below.
JOB DESCRIPTION:
File preliminary notices for each job as needed.
Keep job files up to date for Project Manager and Office Manager.
Order Insurance Certificates as needed.
Job close-out documents.
Order rental equipment and call-off as needed.
Knowing the importance of Job Costing and accurate job cost data entry.
Assist Office Manager with various accounting and office tasks as needed.
Ability to read, analyze and interpret construction documents, drawings and specifications.
Ability to define potential issues, gather data, establish facts, come up with a solution and execute a plan as needed.
Ability to multi-task, prioritize and handle pressure to get the job done in a timely manner.
Must be detail oriented to make sure the job is being done correctly the first time.
Excellent follow-up skills.
Answer phones and filing.
Excel, Word and Outlook experience needed.
Marketing knowledge would be helpful.
