Service Coordinator/Dispatcher/Admin Assistant

Qualifications:

- At least 3-5 years of related customer service experience required

- Previous scheduling/dispatching experience preferred

- HVAC industry experience a plus

- Responsible, self-starter with the confidence to work independently

- Excellent customer service skills

- Strong computer skills

- Must be able to communicate effectively with customers and technicians

- Able to thrive in a fast-paced environment

- Stay calm under pressure and deadlines

- Strong attention to detail

- Strong teamwork attitude

- Positive and professional demeanor

- Must be able to pass drug test and background check

- Dependable, with a strong work ethic

Job Responsibilities:

- Answer phones and respond to emails

- Address client and vendor inquiries and concerns

- Enter job information into system

- Collaborate with service manager to schedule appointments

- Dispatch jobs to technicians

- Implement our established job flow processes and procedures

- Frequent communication with technicians and service manager

- Ensure all required data is present and accurate upon job completion by technicians

- Source parts

- Track purchases for jobs

- Enter line items on invoices

- Coordinate inventory replenishment

- Basic construction of quotes

- Keep track of upcoming jobs

- Client follow-up to ensure satisfaction

- Document and update client records

- Maintain good relationships with vendors and clients

- Other tasks as needed to ensure a smooth job-flow process
