Join us and be a part of something special!Job DescriptionOmni Tempe Hotel at ASU is seeking a Sales Administrative Assistant to join the team of our brand-new upscale hotel. Omni Tempe Hotel at ASU provides Tempe with 330 guest rooms, 36,000 square feet of event space, and four new food and beverage outlets. Featuring a rooftop upscale restaurant and the largest ballroom in the area, we expect to provide tremendous options for our guests for dining and entertainment.So where does the Sales Administrative Assistant fit in? Working closely with the sales team, we expect that our chosen individual will be a highly motivated individual looking to gain experience in a entry level setting. We expect our chosen individual to be someone who enjoys a fast-paced environment and is passionate about interacting with our clients, guests, and associates to strategically elevate the performance and reputation of the hotel. Our ideal candidate possesses a passion for creating memorable experience and strong computer acument to complete all of the functions that support the sales team.ResponsibilitiesEssential Job Functions:
Professionally answers calls to the sales office and accurately takes messages, as applicable
Daily logging and distribution of all incoming leads
Must have or be able to rapidly develop full knowledge of the Omni Sales Administration Manual and ensure that all standards and procedures are followed d.
Takes detailed inquiry leads and submits to appropriate manager
Ensures that all managers receive messages in a timely manner
Enters group information (sites, resumes) into computer database
Must have or be able to rapidly develop full knowledge of the Omni Sales Administration
Maintain the Group Rooms Control Log (GRC) and FDC database
Research, distribute, and log all leads from Global Sales Offices, telephone and other sources
Give group histories to other hotels, and obtain them on behalf of the hotel as needed
Aid the Director of Sales and Marketing and Director of Sales in monitoring the KRA benchmarks
Expert with Salesforce Report Builder and Excel
Assist in 90-day forecasting process
Inputs amenities into computer for VIP clients and processes paperwork (amenity card, receipt signature from Room Service.)
Schedules and prioritizes workload to meet deadlines of all managers
Distributes all correspondence, including letters, emails, proposals, contracts, etc. for assigned managers. Ensures that all correspondence is 100% accurate
Prepare and distribute monthly production forecast
Creates and updates documents and spreadsheets for GM and DOSM, as needed.
Gathers materials and mail packages to clients as necessary
Takes minutes at meetings as directed
Arranges for travel arrangements, restaurant reservations and hotel alerts for site inspections as needed
Orders office supplies and maintains functionality of office equipment
Other duties as assigned
Hotel Specific Duties and Functions:
Perform in work environment with extensive use of phone and email communications and extended periods at a desk or workstation
Work schedule is generally weekday business hours maintaining a 40-hour work week.
Occasional lifting, standing, bending in order to assist guests or operations teams with unexpected changes to setups for events, meetings, and banquets. Regular walking throughout Hotel to interact with other departments, for meetings and oversight of events, and for property tours
Qualifications
Good verbal/written communication skills
Maintain a professional business appearance, attitude, and performance
Ability to effectively use Microsoft Word, Publisher, Outlook, and Excel is required
Previous knowledge of FDC and Opera are preferred
Must have good organizational skills, attention to detail and be able to multi-task

Previous experience in an administrative assistant or coordinator role is preferred
Previous experience working in an upscale hotel is preferred
Experience in a sales environment is strongly preferred
