Description We are searching for an Executive Assistant to join our team in Tucson, Arizona. This role offers a contract to hire employment opportunity, where the successful candidate will primarily be tasked with providing comprehensive administrative and executive support. As an Executive Assistant, your focus will be on facilitating efficient operations within our organization, which includes managing multiple calendars, coordinating travel arrangements, and providing exceptional customer service.Responsibilities: Oversee the scheduling of multiple calendars to ensure optimal organization and time management. Coordinate travel arrangements, ensuring all logistics are handled efficiently. Handle administrative arrangements for visitors and conferences, ensuring smooth operations and positive experiences. Manage office organization and maintain an efficient filing system. Process incoming correspondence and tasks, ensuring timely distribution and follow-up. Collaborate on and prepare PowerPoint presentations, liaising with multiple users. Assist with regulatory submissions and requirements, providing meticulous attention to detail. Draft and compose correspondence, maintain files and records, interpret and apply regulations. Plan appointments and events, ensuring optimal scheduling and organization. Compile and compute data, creating reports for presentation to management, and format special reports and presentations. Initiate and draft correspondence, collect and prepare information for use in meetings, and record meeting minutes to maintain an accurate record of decisions. Adhere to HIPAA compliance by protecting the confidentiality and privacy of healthcare information and the security of electronic health care transactions. Leverage excellent computer proficiency and typing accuracy, including proficiency in Microsoft Word, Excel, and PowerPoint. Demonstrate strong ethics and ability to maintain confidentiality. Show good attention to detail and the ability to deal effectively with distractions. Prove reliability in achieving results within expected time periods. Commit highly to workplace safety.
