We are seeking an Office Manager/Bookkeeper for our growing online e-commerce store. We are an established business of 25+ years.
Your responsibilities include coordinating administration duties, process orders from our online e-commerce store, A/P, A/R lite bookkeeping and general administrative support to our employees.
You will also be answering phone calls and communicating with customers about the status of their online orders, collecting prospect info for a sales person to call back, and screen calls before forwarding to management.
You will be entering orders from our online e-commerce store, creating POs with vendors, and following up on those orders with our vendors. Posting customer updates about their orders, shipment tracking, and capturing monies on our online e-commerce store. A/P, A/R, and bank reconciliation. No payroll or sales tax duties needed as we have other entities handling these for us.
Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities
Answer inquires from customers about their orders from phone calls, emails, and online livechat.
Collect contact info from prospective clients for sales rep to call back from phone calls and online livechat
Process orders from online e-commerce store
Generate POs for vendors, and follow up on orders placed with vendors
A/P, A/R, bank reconciliation
Update and maintain office policies as necessary
Organize office operations and procedures
Ensure that all items are invoiced and paid on time. Responsible for bookkeeping and providing reports to Management.
Manage contract and price negotiations with office vendors and service providers.
Provide general support to visitors
Assist in the onboarding process for new hires
Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
Plan in-house or off-site activities, like parties, celebrations
Special projects from time to time as needed
Skills
Proven experience as an Office manager, Front office manager or Administrative assistant
MUST be proficient in basic accounting principles.
Knowledge of office administrator responsibilities, systems and procedures
Must be proficient in MS Office (MS Excel and MS Outlook, in particular)
Familiarity with email scheduling tools, like GoTOMeeting, google meet, zoom
Excellent time management skills and ability to multi-task and prioritize work
Team player with a positive attitude and willingness to learn
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
Schedule:
8 hour shift
Monday to Friday, 7:00AM - 3:00PM
Experience:
Demonstrated proficiency in basic accounting principles
Microsoft Office: 1 year (Preferred)
