The Office Assistant will be skilled in customer service, scheduling, and dispatching. The Office Assistant will work closely with Operations Management to ensure timely completion of work order requests. The Office Assistant will help the Finance Manager, as well as the owner, as needed.
To be successful in this role, customer satisfaction, efficiency, and timely completion of work requests should be your top priority. Ideal candidates will have excellent organizational, communication, and prioritization skills.
ESSENTIAL FUNCTIONS:
Oversee daily schedule, including scheduling new calls, rescheduling existing calls, and prioritizing emergency calls.
Communicate with the service technicians regarding order preparation, inventory issues, vehicle loading, etc;
Complete administrative duties as required.
Answer telephone calls and emails from customers.
Answer customer questions and provide information on material delivery times, estimate and pricing information, etc;
Invoice completed work requests.
Ensure each customer receives outstanding service.
Provide accurate and efficient record keeping for all service requests;
Communicate with Management as required regarding orders for delivery, pick-up or transfer;
Uphold office cleanliness standards;
Other duties as assigned by Management
Spanish/English bilingual preferred.
