The Delivery Administrator will manage Internal Transportation Billing /Responsible for DOT compliance/ Manages Vehicle Maintenance /Assists Delivery Manager
Essential Job Duties:
Process Invoices for all DOT Trucks and Trailers
Issue POs and receivers for all DOT trucks and trailers
Code all invoices for DOT trucks and trailers with correct GL codes and send to AP
Ensures Compliance with all DOT regulations
Completing official annual audit of Driver qualification files
Process and approve all new DOT driver application procedures and files
Weekly audit drivers logs for compliance
Maintain physical files and logs for all DOT drivers
Audit DOT equipment maintenance records
Maintain files for all DVIRs
Ensure all annual DOT vehicle inspections are complete
Studies existing and new DOT legislation and seeks continual training
Develops procedures to maintain compliance
Advises management on needed actions
Manages Vehicle Maintenance
Analyzes repairs needed to determine if covered under lease
Obtaining quotes on repairs needed
Determining best vendor for repairs to achieve expense budgets
Consulting management when repairs are over $2,000
MHC Paclease Reports
Code MHC and TLG fuel invoices and send to AP
Verify driver trip records and mail to TLG Paclease
Update monthly odometer reading report and send to TLG
Enter monthly mileage report into master mileage spreadsheet for Hugg & Hall mileage records
Prepare Concur Credit Card Report for all Drivers
Issue all POs and Receiver for credit card purchases
Questions any improper charges
Review credit card report before submission
Assist Delivery Manager
Handle all outside hauling set up when delivery manager is out
Maintains interdepartmental work flow
Manage Delivery Administrator Assistant
Assist in calculating internal billing rate for entry into EBS
Plan, monitor, and appraise personnel job performance
Conduct annual reviews in a timely manner
Assist Delivery Drivers
Be readily available to assist drivers with POs and E-logs
Enter driver time cards for payroll
File and maintain time cards
Other Duties:
1. Assists Other Departments

being honest
reviewing personnel matters with delivery manager including hiring, firing, written warnings, raises, and
reviews
Any Other Duties as Assigned by Supervisor
Qualifications:
Required Skills/Experience
minimum 3 years administrative/clerical experience
general DOT regulation knowledge
strong written and verbal communication skills
accurate and efficient
high computer proficiency
accounting and/or Accounts Payable knowledge
Education
High School Diploma or Equivalent
Physical Demands/Environmental Conditions:
This position is in an indoor office environment with a controlled climate.
This position requires sitting at a computer desk for long periods of time with constant use of a computer keyboard while reading the computer screen.
This position will continuously talk, hear, and read in verbal and written communication. And will occasionally stand, walk, and reach with hands and arms.
This position will continuously use hands to type.
