TRAINEE: Receptionist/Service Coordinator/Inside Sales

The Service Coordinator acts as an interface between customers and the service department. An energetic, enthusiastic, positive detail-oriented individual will support the schedules for the service techs. Provides clear and concise communications with internal and external customers. Creates and coordinates service paperwork. Maintains accurate invoicing, records for customer accounts.

Job Scope Includes, But is Not Limited to:

Customer Interaction - First line of contact with the customer to support needs via phone calls, e-mails and other forms of communication to complete service requests. Exhibits a positive attitude toward internal and external customers and be flexible to meet the changes in customer requests throughout the day. Follow- up with customer to ensure we are providing best in class service.

Scheduling - Communicate customer requirements to the service team. Efficiently schedule service calls with technicians, and maintain frequent communication throughout the day to help plan and organize their time. Coordinate with project managers on all aspects of the service calls including permits, inspections, creation of documents, and material acquisition for service.

Documentation - Input service all inquiries and service call details into the required computer systems. Maintain detailed files in Microsoft Excel and other databases. Create invoices and billing to accurately reflex the service calls. Follow up directly with customers on past due accounts and collections.

Inside Sales - Call on potential clients concerning the results of night audits and send Reports of Parking Lot Lighting & Electrical Sign Outages, which include photos and repair estimates, to the proper individual.

Preferred Qualifications:

High school diploma or equivalent (though an exception can be made for the right person);

Some customer service experience and/or combination of education and experience;

Excellent customer focus and ability to work under pressure;

Basic computer skills

Basic accounting knowledge or willingness to learn;

Ability to self-train on computer programs with software manuals, how-to-videos, etc.

This is a "Girl Friday" (or "Boy Friday") position with a good deal of responsibility in a fast paced environment.

Our office will be relocating to Springdale in the near future.
