The Office Manager will ensure smooth operation and a positive employee experience by managing office operations and employee events across 3 locations. This position is based in our Wallingford, CT office and will require occasional travel to our satellite locations. This position will report to the Chief of Staff.

Responsibilities:

Continuously strives to improve the employee experience in the office by removing boundaries and roadblocks to productivity, maintaining organization, and researching and recommending services and amenities to improve employee experience.

In cooperation with teams including Human Resources, the Employee Action Team, the DEI Committee, and the Wellness Team, manages the employee event calendar and leads the planning and execution of events and activities.

Facilitates an exciting and engaging new employee experience.

Schedules and manages communication around internal meetings (staff, leadership, etc.) Ensures accessibility for all attendees across all locations, takes minutes as necessary and coordinates follow-up as needed.

Manages external meeting registration, attendance, communication and billing.

Supports Chief of Staff as needed in coordinating board of director and board committee meetings including: coordinating schedules, collecting and distributing materials, and managing follow up items.

Coordinates donor meetings.

Completes various federal and state reporting.

Tracks use of corporate credit card and processes expense reports.

Manages relationship with vending companies and other vendors ensuring quality service.

Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.

Ensures the areas that employees frequent are kept clean, organized and comfortable.

Maintains inventory of office and kitchen supplies; orders new supplies as needed.

Creates standard operating procedures as required.

Other Functions:

Provides clerical support and backs up reception duties when needed.

Provides administrative support to members of leadership team.

Performs other related duties as assigned.

Education and Experience:

High School diploma or equivalent is required, associates or bachelor’s degree is preferred.

Proven ability to operate with high levels of discretion is required.

Excellent interpersonal and customer service skills.

Excellent verbal and written communication skills.

Knowledge of office management procedures.

Excellent organizational skills and attention to detail.

Excellent time management skills with a proven ability to meet deadlines.

Proficient with Microsoft Office Suite.
