ABOUT THE YALE-CHINA ASSOCIATION

Founded in 1901, the Yale‐China Association is a nonprofit organization with more than a century of experience bringing together Chinese and American people to inspire service, learning, and long-term relationships, build bridges of understanding and create practical collaborations in education, health, and the arts. Although closely affiliated with Yale University, Yale‐China is separately incorporated and administered and is registered in Connecticut, Hong Kong, and mainland China.

POSITION DESCRIPTION

Reporting to the President and working closely with other members of the team, the Administrative Assistant and Office Manager handles a variety of administrative and other functions for the organization.

ESSENTIAL DUTIES

 Provide administrative assistance to the president in tasks such as schedule management, correspondence, board of directors’ communications and administration, maintaining files and other information, and other tasks.

 Assist the director of finance and operations in certain tasks, preparing and taking deposits to the bank, and other administrative tasks as directed.

 Provide administrative support for overall operations, including maintaining files and calendars, screening incoming materials (mail, phone, email), and facilities management.

 Serve as greeter and first point of contact for visitors to the organization.

 Serve as an administrative contact for the organization, including contact with outside vendors.

 Coordinate logistics for Board of Trustees meetings, including venue selection and management, preparation of meeting materials, arrangement of meals, transportation and accommodations, and recording and preparation of minutes.

EDUCATION AND TRAINING

Minimum of three years of related administrative work experience; related coursework or training also a positive.

SKILLS AND ABILITIES

 Excellent organizational skills and ability to pay keen attention to details.

 Ability to handle multiple tasks, oversee office procedures, and meet deadlines.

 Excellent computer skills with proficiency in MS Word, Excel, PowerPoint, Outlook and Salesforce; experience with websites and databases also a positive.

 Outstanding written and verbal communication skills.

 Excellent judgment, maturity, initiative, and professional demeanor; well‐developed interpersonal skills and the ability to work both independently and as a member of a team.

 Ability to thrive in a cross‐cultural environment.

 Strong attendance record; values punctuality and discretion; exhibits a positive nature and appreciation for excellent work output.

 Chinese language proficiency helpful, but not required.

Salary commensurate with experience and in the mid-$50k range; generous leave policy and Yale University benefits apply.
