Job Summary

The IP Operations Specialist provides patent prosecution support to the Intellectual Property Operations Group including preparation of Office Actions, Filing Receipts, Publications, Issue Notifications and Letters Patents reporting letters, downloading/ docketing/forwarding routine United States Patent and Trademark Office (“USPTO”) correspondence, preparing/reporting USPTO e-filings, and completing special projects as assigned.

Job Responsibilities

  • Supports risk management activity by meeting all internal and statutory due dates, carefully reviewing file histories and client instructions, accurately preparing documents, timely and responsively maintaining files and handling procedures, and providing overall quality of service.
  • Adheres to established policies and procedures to meet expectations of firm administration, clients, and attorneys; identifies and applies special client instructions and attorney preferences related to workflows and document preparation.
  • Reads, dockets, and distributes incoming mail from the USPTO using electronic procedures.
  • Prepares Office Action, Filing Receipt, Publication, Issue Notification and Letters Patent reporting letters, USPTO general correspondence, and documents to be filed with the USPTO in “signature ready order”.
  • Coordinates maintenance of calendar meetings and upcoming events as requested.
  • Provides overall proactive, professional, and detailed service to both internal and external clients.
  • Assists with the “second eye” proofreading of USPTO Notices and Official Filing Receipts.
  • Performs other duties as assigned.

Qualifications

Knowledge, Skills and Abilities

  • Must possess a thorough command of the English language, including excellent spelling, grammar and punctuation.
  • Demonstrated ability to communicate effectively, both orally and in writing with attorneys, staff and external contacts, and to follow written and oral instructions.
  • Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements, while maintaining an extremely high level of accuracy.
  • Basic knowledge of Microsoft Office Suite (Word, Excel, Power Point, etc.).
  • Moderate typing skills.
  • Demonstrated ability to work effectively both independently and with others in a cooperative, enthusiastic and friendly manner to accomplish position functions and participate in team efforts.
  • Reliability and dependability with some flexibility regarding work schedule and availability for overtime as requested to accommodate client and attorney business needs.
  • Ability to safely lift, move and carry boxes without assistance, weighing up to 35 lbs.

Education

The position requires a Bachelor’s Degree.
