SUMMARY:

The Litigation Technology Supervisor is responsible for developing, training and overseeing the department staff for their area, as well as upholding the core company value of impeccable customer service. The position requires a versatile individual with a strong leadership, technical and customer-service background, great attention to detail and excellent verbal and written communication skills. It is a fast-paced working environment so they must be motivated, organized and work well under pressure.

ESSENTIAL FUNCTIONS:

Personnel Management

• Lead and direct staff to ensure the team is operating efficiently and providing impeccable customer service to clients, resources, and colleagues.

• Review and approve timesheets and PTO requests. Regularly monitor OT.

• Review and approve travel expenses.

• Review employee expense reports and Amex reports for accuracy and submit to HR/Accounting.

• Communicate daily with Scheduling department about employee availability and update shared availability calendar.

• Hold regular one-on-one’s with staff.

• Assist with interviewing, hiring and onboarding new staff.

• Coach, mentor and develop staff. Assist with providing career development planning and opportunities.

• Track employee performance and provide effective performance feedback through employee recognition, rewards, and disciplinary action, with the assistance of Human Resources, when necessary.

• Conduct formal employee performance reviews and schedule regular check-in's throughout the year.

• Foster a cohesive team environment and plan team-building events.

Operations

• Adopt departmental policies and operating procedures and assist senior management with formulating new ones as Department expands.

• Collaborate with the Scheduling department on a daily basis to ensure proper job/employee match and training/shadowing initiatives.

• Review daily schedule and work closely with the Tech Support team to communicate any important job/technical information to the assigned employee.

• Review employee notary and certification applications in various states, track status of pending applications and expirations. Work with staff to maintain all applicable notaries.

• Track monthly mileage of team and provide a monthly mileage report to the Litigation Technology Manager.

• Communicate job feedback & grades regularly to staff, working with the staff and Production to identify issues and implement improvements.

• Surprise shadow staff on jobs to monitor their performance in the field.

• Track staff working towards getting their AAERT certifications, managing their renewals and continuing education requirements and ensuring memberships and renewals are all done in compliance and in a timely fashion.

• Work closely with the Tech Support team and Trainers to ensure staff has all appropriate equipment and ensure staff is fully trained on all their equipment.

• Work in conjunction with the Training team to help develop training curriculums and hold regular training sessions.

• Work in conjunction with the Tech Support team and Trainers to regularly review and update all training materials.

• Handle urgent after-hours/weekend issues.

QUALIFICATIONS:

• At least one year of leadership responsibility. Management experience in a team-oriented workplace preferred.

• Analytical and problem-solving skills, decision-making skills, good judgment and flexible work schedule.

• A strong aptitude towards technology (information technology, web-based systems or videography) plus a willingness to learn new technological skills

• Must be able to work in a professional and confidential environment
