We are a small business in Northern Virginia that has been providing customers a premier experience in roof replacements, exterior repair/replacement of siding, windows, doors and gutters for over 25 years. If you are the type of person that believes that a contractor should treat the customers home as if it were their own and has the skills to communicate with potential customers, plan/record sales calls with customers, assist in scheduling a customers roof replacement or repairs and provide support to overall office operations, then you are a person we would like to meet!

ESSENTIAL REQUIREMENTS:

1. High school diploma or equivalent.

2. Demonstrated knowledge and ability to use computers and appropriate company software.

3. Physical ability to repetitively manipulate computer keyboard and ten key.

4. Speak, write and communicate in English.

DUTIES AND RESPONSIBILITIES:

A) Support to Sales Coordinator

1. Assist in answering incoming calls professionally, directing calls to the appropriate department as needed- #2 Call taker.

2. Provide backup support in setting project consultant appointments and fill calendars, entering all customer information correctly into database.

3. Provide backup support in making daily appointment confirmation calls and send follow up emails for all sales appointments as per process.

4. Provide backup support in completing all daily sales and marketing reports as per process.

5. Provide backup support in contacting and setting (as per process) all incoming Home Advisor and Web Form Leads- unless otherwise instructed by management.

6. Assist in maintaining an accurate daily schedule for, and communicates with all project consultants.

7. Assist as required in confirming all scheduled appointments for all PC's, SM, SMA, GM, Marketing Director and Owner.

8. Assist as required in following up on, and rescheduling all cancelled and/or no show appointments.

9. Assist as required in making customer entries into CRM and R&M data base.

10. Provide support in office equipment preventive maintenance requirements and repairs.

11. Assist as required in office supply ordering and inventory (includes but not limited to: office, kitchen, marketing materials) by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders and for verifying receipt of supplies.

B) Support to Production coordinator

12. Assist as required in organizing and coordinating the pre-installation phase for all projects.

13. Provide support in the organizing and coordinating all aspects of scheduling, including but not limited to new installations, repairs, call backs, punch items etc.

14. Help maintain the accuracy of the JobProgress information database and scheduling calendar.

15. Assist as required in the calling of manufacturers and distributors; and update database and calendars with ETA.

16. Assist as required in contacting customers regarding start date and all scheduling changes.

17. Assist as required in preparing the daily paperwork package for installation team, Project Managers, Field Supervisor & Operations Manager

18. Assist with the filing of all job-related information in the appropriate areas.

19. Assist as required with the updating & delivering assigned production reports as required.

20. Assist as required with the ordering of materials and supplies for all projects and warehouse inventory.

C) Support to Chief Financial Officer

21. Assist as required with paying bills per process

22. Provide support with processing of payroll

23. Assist as required in completing monthly financial reports and reconciliation

D) General expectations

24. Be courteous, neat, clean and in proper casual business attire.

25. Always follow all company policies.

26. Contributes to team effort by accomplishing related results as needed.

27. Attend company meetings and seminars as required.

28. Advise supervisor of anything that employee becomes aware of that could be important to improving the profitability, competitiveness or safety practices of the company.

29. Any other duties or responsibilities deemed necessary by management.

Hours:

8am to 5pm Monday thru Friday with a one-hour lunch and two 10-minute breaks
