We are seeking a highly organized and detail-oriented Lead Office Services Associate to oversee the imaging and reprographics functions within our Law firm Client. The successful candidate will manage daily operations, ensure the highest quality standards in document management, and lead a team to provide exceptional support services.

This role requires a strong background in reprographics, excellent leadership skills, and a commitment to delivering superior service.

Pay rate: 29/hr

Monday - Friday 10:30am to 7:30pm

Key Responsibilities:

Imaging and Reprographics Management:

Oversee all imaging and reprographics activities, including document scanning, printing, copying, and binding.

Ensure the accuracy and quality of all reproduced documents.

Implement and maintain best practices for document handling and storage.

Team Leadership:

Supervise and lead a team of office services associates, providing guidance, training, and support.

Assign and manage daily tasks to ensure efficient workflow and timely completion of projects.

Conduct performance evaluations and provide feedback to team members.

Customer Service:

Serve as the primary point of contact for imaging and reprographics services, addressing client needs and resolving any issues.

Maintain a high level of customer satisfaction by delivering prompt and professional services.

Coordinate with other departments to fulfill special requests and large-scale projects.

Equipment and Supplies Management:

Maintain and operate imaging and reprographics equipment, ensuring all machines are in good working condition.

Troubleshoot and resolve equipment issues promptly.

Manage inventory of supplies, ordering materials as needed to avoid disruptions in service.

Process Improvement:

Continuously evaluate and improve imaging and reprographics processes to enhance efficiency and quality.

Implement new technologies and methodologies to streamline operations.

Develop and update standard operating procedures (SOPs) for the department.

Administrative Duties:

Prepare and maintain reports on imaging and reprographics activities, including volume, quality, and turnaround times.

Assist with budget preparation and monitoring for the imaging and reprographics department.

Perform other administrative tasks as assigned by the Office Services Manager.

Qualifications:

High school diploma or equivalent; an associate’s or bachelor’s degree in a related field is preferred.

Minimum of 3-5 years of experience in imaging and reprographics, with at least 2 years in a supervisory role.

Proficiency with imaging and reprographics equipment and software.

Strong leadership and team management skills.

Excellent organizational and multitasking abilities.

High attention to detail and commitment to quality.

Strong customer service orientation.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).
