Responsible for the management of “trust” which includes group of properties fulfilling the manager’s obligations under the terms of the property’s management agreement. General day-today office management. Handle confidential information with discretion and maintain a high level of professionalism at all times. Follow up with stakeholders to ensure deadlines are met and action items are acted on. Provide Ad Hoc support to executives within the organization. Must thrive in a fast-paced environment. Assist in managing administrative and/or office-related projects, ensuring deadlines are met and deliverables are achieved
Job Description
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
1. Responsible for all lease administration duties
2. Monitor collections and coordinate default proceedings
3. Ensure compliance with Property Management Policies and Procedures, codes, regulations, and governmental agency directives
4. Provide management and leadership to property staff, including hiring and performance management
5. Develop comprehensive annual inspection process for properties; complete weekly, monthly, quarterly, annual inspections as required for a specific asset, best practices, and/or client requirements
6. Bid, negotiate, and manage conformity with vendor contracts in accordance with contract requirements or client requirements
7. Accurately abstract all property leases in lease administration software(Buildium)
8. Maintain interface with third-party owners and accounting team to ensure total contract compliance, including preparation of accurate and timely reporting
9. Coordinate and oversee on behalf of client, all tenant and building construction work to ensure timely and accurate completion of all construction work at property
10. Participate in leasing and client team meetings and ensure effective communication between leasing and property management team members in order to achieve client’s goals and objectives
11. Provide and foster positive relationships with tenants, external clients, and internal clients
12. Keep time and do payroll for all employees weekly.
13. Pay and track income & expenses for 40 units: Taxes(1099 &1098) & insurances
14. Pay all utilities
15. Run Ads for all vacant units
16. File evictions
17. File court papers
18. Show vacant units for rent
19. Find company to show and rent units
20. Find and monitor company to find tenants
21. Ad and find contractors for all aspects of business
22. Register all vechicles & keep current
23. Must have some knowledge of how to monitor stocks
24. Need experience with different computer programs and preferred knowledge of “Buildium”

IMPORTANT EDUCATION
Bachelor’s Degree in Business Administration or related discipline preferred
IMPORTANT EXPERIENCE
3+ years of real estate property management or related experience
ADDITIONAL ELIGIBILITY QUALIFICATIONS
Strong knowledge of finance and building operations
Ability to analyze, prioritize, and delegate
Ability to effectively manage a team of professionals, including both employees and vendors
Previous experience in analyzing and negotiating commercial/residential lease and/or contract language
Advanced knowledge of Microsoft Office Suite
WORK ENVIRONMENT
This job operates in a professional home office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.
