Full Charge Bookkeeper/Administrative Assistant

Our accounting firm is seeking a full charge Bookkeeper / Administrative assistant with a great personality.

Prior CPA firm experience is preferred but must have the ability to work on multiple entities and multi-task.

Responsibilities Include (but are not limited to):

Accounting and Bookkeeping:

- Maintain accurate and up-to-date financial records.

- Perform reconciliations of accounts and transactions.

- Ensure compliance with accounting principles and regulations.

Categorizing Transactions:

- Classify and categorize financial transactions appropriately.

- Ensure consistency and accuracy in transaction categorization.

Client Communication:

- Send professional and timely emails to clients regarding their accounts and

transactions.

- Address client inquiries and concerns promptly and effectively.

Data Entry and Deadline Management:

- Perform data entry tasks related to client financial information, ensuring accuracy and completeness.

- Keep track of tax deadlines and ensure timely submission of returns and reports to regulatory authorities.

Duties

Proficiency with QuickBooks desktop, QuickBooks Online and Microsoft Office required

Prepare and understand the details of preparing live payroll, payroll tax returns and sales tax returns

Calculating payroll deductions and employer contributions

Manage daily administrative tasks including scheduling appointments, maintaining files, and organizing documents.

Reconciling bank accounts, credit card accounts and loan accounts

Advanced knowledge and understanding of working with Accounts Receivable; entering invoices, receiving payments, setting up service items, etc.

Managing Accounts Payable; entering bills, downloading transactions from the bank and credit card accounts into QuickBooks

Experience using classes and job costing

Understanding and interpreting company financials, general ledgers and posting journal entries

Collaborate with team members to ensure efficient workflow and communication across departments.

Experience:

Tax experience: 1 year (Preferred)

Language: Bilingual English and Spanish are required

Potential- Can turn into full-time role, 40+ hours a week

Job Types: Full-time, Part-time

Familiarity with accounting principles and financial concepts is essential.

Proficiency in using accounting software such as QuickBooks is highly required.

Previous experience as an administrative assistant or in a similar clerical role is preferred.

Excellent attention to detail and ability to manage multiple tasks simultaneously.

Strong communication skills, both written and verbal, to effectively interact with team members and clients.

Candidate must be a self-starter, organized, follow deadlines and work within a team
