Summary: We are seeking a highly organized and proactive Business Assistant to join our team. This role is integral to our business operations, as the ideal candidate will support us by managing administrative tasks, coordinating schedules, and facilitating communication within the company and with external partners. Key Responsibilities:
Administrative Support:
Manage store calendars, schedule meetings, and make arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Handle incoming calls, emails, and other communications and route them appropriately.
Office Management:
Maintain office supplies inventory and place orders as needed.
Oversee office operations and procedures, ensuring efficiency and effectiveness.
Coordinate and manage various office activities and operations to secure efficiency and compliance with company policies.
Project Coordination:
Assist in the planning and execution of company projects and events.
Monitor project progress and handle any issues that arise.
Prepare reports, presentations, and data as needed.
Financial Duties:
Assist with expense tracking.
Process invoices, receipts, and other financial documents.
Coordinate with the finance department to ensure accurate and timely financial reporting.
Customer and Partner Relations:
Serve as a point of contact for clients and partners, providing excellent customer service.
Maintain positive relationships with clients, partners, and vendors.
Data Management:
Maintain and update company databases.
Ensure the accuracy and integrity of data in all systems.
Qualifications:
Education: An associate degree in business administration or management or a related field is preferred.
Experience: Minimum of 2-3 years of experience in an administrative or business support role.
Skills:
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle sensitive information with discretion and confidentiality.
Strong problem-solving skills and attention to detail.
Ability to work independently and as part of a team.
Preferred Qualifications:
Bilingual in English and Spanish. Writing, reading, and speaking.
Previous experience in a similar role within the industry.
Working Conditions:
This position typically works in an office environment.
Occasional travel may be required for business meetings and events.
