If you an experienced and highly organized professional, and looking exciting opportunity in a fast-paced law firm, we are currently seeking a talented Administrative Legal Assistant to join our team and contribute to our continued success. If you have a proven track record in office management, excellent communication skills in both English and Spanish, and a passion for providing exceptional administrative support, we want to hear from you!

Responsibilities:

Oversee and manage the daily operations of our law firm office.

Provide administrative support to attorneys and staff, including scheduling appointments, managing calendars, filings, and handling correspondence.

Handle new client phone calls and inquiries, ensuring prompt and professional responses.

Assist with new client retainers client billing, invoicing, and other financial administrative tasks related to title closings.

Maintain and organize title files, client files, and legal documents.

Ensure compliance with firm policies and procedures.

Collaborate with the HR department on various tasks, such as recruiting and onboarding new employees.

Manage office supplies and equipment inventory, placing orders as needed.

Foster a positive and efficient work environment.

Requirements:

Minimum of 2 years of experience as a manager and or admin and/ or a similar administrative role within a law firm.

Bilingual fluency in English and Spanish, with excellent written and verbal communication skills in both languages.

Strong organizational skills and the ability to prioritize tasks effectively.

Proficient in using office software (e.g., MyCase, DoubleTime, Microsoft Office Suite, Outlook).

Exceptional attention to detail and accuracy.

Excellent interpersonal skills and the ability to work well with a diverse range of individuals.

Ability to handle sensitive and confidential information with the utmost discretion.

Proactive and solution-oriented mindset.

A professional and polished appearance.
