Hialeah area school is seeking an Executive Assistant to start for the new year. This high profile position requires attention to detail, professionalism, and flexibility as you will be key contact.
Duties include:
Managing supervisor's calendar and schedule appointments.
Answers routine inquiries
Develop and edit reports and presentations.
Arrange programs, events, or conferences by arranging for facilities and caterers, issuing information or
invitations, and coordinating speakers.
Screens incoming calls and correspondence and responds independently when possible.
Prepares memorandums outlining and explaining administrative procedures and policies to supervisory
workers, and monitors compliance.
Directs preparation of records such as agenda, and notices. Takes and transcribes dictation, and composes
and prepares confidential correspondence, reports, and other documents.
Creates and maintains database and spreadsheet files.
Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings,
and accompanies supervisor when requested.
Orders and maintains supplies, and arranges for equipment maintenance.
Create files, file indexes and binders and maintain contact database, send various mailings to contacts
Assist other administrative staff and departments as needed
Skills and Qualifications:
High School diploma or equivalent required, college degree preferred
Minimum of 2 years prior executive administrative experience required
Proficient in Microsoft Office, Microsoft Excel, Microsoft PowerPoint.
Strong secretarial, and organizational skills.
Zoom meetings, must coordinate, arrange and schedule
Social media management
Event booking, coordinate reservations, travel arrangements and attend event
