The Administrative Coordinator will serve in support of the College’s Dean’s Office. The College of Pharmacy Dean’s Office is a team of executive leaders and professional staff that drive the strategic mission and vision of the college. Our team values diversity of thought, skills, experiences, and talent. As a member of the Dean’s Office team, you will be responsible for scheduling and managing multiple calendars which involves prioritizing numerous meetings and requests. So, the ability to successfully multi-task numerous operations and events simultaneously, with minimum supervision and maximum accuracy is a must.If you are a self-starter who possesses a calm professional demeanor and exercises good judgment when dealing with senior administrators, faculty, staff, and students, we would be excited to accept your application. This position is in-person and is not eligible for remote work.Essential functions of the position include, but are not limited to:

Administrative Assistance: Offer comprehensive administrative support, including managing calendars, drafting and editing correspondence, creating briefing materials, manage contacts, and coordinating travel arrangements.

Stakeholder Support: Act as the key contact point for various stakeholders, handling correspondence, phone, and in-person communications.

Committee Liaison: Provide administrative support to various committees such as faculty governance, faculty search committees, research committees. Duties include, but may not be limited to arranging flights, hotel/room reservations, transportation, coordinating interview schedules, assisting speakers/candidates during their visit.

Information Collection and Research: Gathers data, conducts research, and prepares materials, supporting management meetings and facilitating informed decision-making.

Welcoming Atmosphere: Opening the Dean’s Office daily and setting the inviting and professional tone of the space.

Exciting Opportunities: Provides administrative support for special projects for all Associate Deans and Executive Director as requested

Experience in Outlook, Word, PowerPoint, WordPress, Excel, Qualtrics and the aptitude to learn and become efficient in new software as required
