Job Duties:
-Preferred Bookkeeping / QuickBooks Experience
-Preferred Experienced Administrative Experience
-Preferred Human Resources / Payroll Experience
-Receive phone calls and staff our office. Available to be on site Monday-Friday start time (variable during the season) until daily tasks are complete
-Provide excellent customer service through emails and phone calls
-Process credit card payments for customers
-Coordinate, schedule, and interact with service providers for deliveries, repairs, inspections, etc.
-Do research, errands or other tasks to support business owners and managers with special projects
-Assist with filing, physical organization and cleanliness of office and shared spaces.
-Assist with inventory of food products, packing supplies, and tools for distribution as needed
-Work in coordination with other staff to inventory frozen meats and value-added items, and prepare these products to fulfill special orders
-Work directly with the management and staff to ensure accurate order fulfillment and delivery
-Assist with creation of labels and packing lists
-Be a point of contact for delivery drivers and assist with customer communication as needed.
-Help farm-gate customers load orders and put orders out at the gate.
-Help with special projects and events on the farm (occasional weekend and evenings required, scheduled in advance)
-Coordinate Daily and Weekly Goals with all staff through Google Sheets
-Utilize our computer programs to support the distribution side of the business
REQUIREMENTS:
-Positive outlook on life and ability to handle challenges with grace
-At least two years experience of administrative assistant/office manager experience in a fast paced environment.
-Derives satisfaction from helping others solve problems
-Interest in growing and learning in the position including willingness to learn new computer systems and skills.
-Interest in learning about organic farming and sustainable agriculture, including making a positive impact on environmental and social issues.
-Ability to work successfully with people from diverse backgrounds. Bilingual in Spanish is highly preferred.
-Experience with handling cash and personal information in a careful and secure manner.
-Demonstrated ability to advance and take on additional responsibilities at previous jobs including the ability (and desire) to stick with a job for more than a year.
-Satisfactory completion of a background check.
-Valid driver’s license and authorization to work in the U.S.
-Ability to be present at work consistently, on time, to start each day.
-Exceptional attention to detail and follow-through.
-Self-motivated, ability to work both with and without direct supervision.
-Ability to communicate effectively, courteously, and professionally with all staff and customers: in person, on the phone, and in writing. This includes friendly and professional phone etiquette.
-Ability to represent the business in a professional and positive manner.
-Experience with Quickbooks, Google Docs, Gmail, and internet/computer literacy. Able to touch type minimum of 50 wpm. Able to create efficient digital workflows and avoid inefficient practices (like leaving too many tabs in one view).
-Detail-oriented, self-motivated, be able to manage multiple small projects simultaneously
-Able to climb stairs (office is upstairs) and lift up to 40 lbs for receiving packages and assisting customers.
The programs we use are Routific, Local Food Marketplace, Google Sheets, and various other design and advertising programs. Applicants must have experience with these or similar programs or be able to quickly learn how to navigate them confidently.
The first day of orientation for any position will be work-trade. The first day on site will be a work/trade short day, with the goals of orientation and introduction to our system. We will compensate with an abundant box of produce, eggs, meat, and/or value added items for this first work/trade day. The second day is the official start date at hourly training rate. Additional hours are available if you can combine this role with one delivery route or one farmers market per week. Requires ability to drive an 18 foot box truck, and minimum 7 years safe driving record.
