The Youth Programs Coordinator is responsible for purchasing all items and materials, within given budgets and timelines, needed to keep the Youth Programs running across the fleet. This position partners with both internal contacts and external vendors to coordinate all aspects of deliveries. Working closely with the Shoreside Youth Managers, this position assists with various administrative tasks, including but not limited to updating documents, creating forms, and composing shipboard communications. The coordinator will also have the unique opportunity to assist with the planning and logistics of special events both shipboard and shoreside.Essential Functions:
Purchase all products and services for Youth Programs and special projects (daily operations, start-ups, major refurbishment projects, new programming, partnership activations, special events) – investigate items needed (new items and inventory par levels of existing items), collaborate with Purchasing for recommendations, partner with vendors on special branded products, enter requisitions, review purchase orders, track spending, and evaluate quality of items received
Coordinate the logistics and track shipments of all items purchased for Youth Programs – communicate with vendors to track deliveries, partner with Carnival warehouse team to monitor delivery status and ensure items are properly received into the inventory system, monitor loading dates for ships and make sure product is onsite to load by deadlines, and as needed, separate and re-pack deliveries and place boxes in the bullet room to be sent to the ships
Communicate with shipboard Youth Directors regarding their supply needs, future purchases, and item feedback to plan new purchases and maintain a high quality of toy and craft selections, being mindful to conserve inventory and spend efficiently
Track the distribution of large dollar amount expenditures for special projects by consistently managing all incoming invoices and staying in communication with the Accounts Payable department from invoice submittal through payment
Code, categorize and align an intricate number of purchases to several multifarious account strings, while monitoring project budget and payment terms
Investigate and present cost saving opportunities for Youth Program supplies; work closely with Purchasing to identify alternative vendors or substitute products
Serve as liaison for all current and new vendors by processing all vendor related documents and identifying information needed to complete the procedure of setting up a new vendor in the Global Supplier Maintenance system
Coordinate and synthesize data collections across the fleet for various projects
Plan and oversee the details of special shipboard and shoreside youth and family events, including conferences, large-scale department meetings, and more
Qualifications:
Bachelor's Degree preferred
Associate's Degree in Recreation, Education, Business required
2+ years working in a business environment
Knowledge, Skills and Abilities:
Excellent written and verbal communication skills, in English, with all levels of staff and management.
Excellent interpersonal skills with a collaborative communications style.
A sense of urgency and the ability to meet deadlines
Creative thinker and solutions oriented, a self-starter and high level of initiative.
Able to work independently.
Experience with Microsoft Office (OneDrive, Outlook, Word, PowerPoint and Excel), Oracle
