This position reports to the Department manager. The Administrative Assistant is responsible for ensuring all administartive duties are completed in an accurate and timely manner. These duties include answering phones and scheduling service requests, maintaining all files and time sheets for field personnel, checking field reports and work orders, ordering inventory, opening new client files, etc
Day to Day:
Maintain files and other records, enters all information into data base.
Answers telephone calls , intake of service calls and others as needed.
Communicates with Customers via email and phone.
Input data service requests from clients and forwards to appropriate department.
Input data from invoices and expenses.
Assists the department Supervisor with various tasks.
Performs other related duties asssigned.
Qualifications:
2+ years administrative assistant.
Ability to work well under pressure an meet deadlines.
Ability to prioritize and multi-task effectively.
Excellent verbal and written communication skills.
Must posses excellent computer skills (Word, Excel and Outlook)
Billing/Invoicing experience a must.
Scheduling/dispatching experience of field personnel is a must.
A Construction background is preferred.
Knowledge of Fire Alarm or Fire Sprinkler is a plus.
Manage and Coordinate key aspects of service operations including scheduling, dispatching and customer service tasks.
Maintain accurate records of service requests, work orders, customer interactions, agreement's and contracts.
