Seeking an experienced and resourceful Administrative Assistant for our Facility Services Division in our fast paced company.
Must be experienced in administrative functions, a self-starter, resourceful, diligent and creative with excellent communication skills in English AND Spanish. Work is in a fast paced environment working closely with clients, vendors and our company's senior management staff.
Qualifications:
>Proven experience in an administrative, coordinator or assistant role.
>Must be proficient in Excel; any accounting knowledge in QuickBooks is a plus.
>Must be proficient in Microsoft Office Suite (Word, Excel, Outlook).
>Excellent organizational skills with strong ability to multitask and prioritize tasks effectively.
>Strong attention to detail and accuracy in data entry and record keeping.
>Excellent communication skills, both written and verbal in English AND Spanish.
>Ability to work independently as well as collaboratively in a team environment.
>Strong problem-solving skills and ability to adapt to changing priorities.
Responsibilities Include:
>Providing administrative and coordination support to the COO and CEO.
>Work with Excel to create and maintain quotes, project scope, updates and expenses/costs.
>Work with Outlook and Word documents to communicate with clients and vendors.
>Assist with customer support by answering phone calls and responding to emails.
>Assist with planning and coordination, including scheduling meetings.
>Collaborate with team members on various projects, providing project coordination support.
>Utilize MS Suite to create and edit documents, spreadsheets, and presentations.
>Assist in managing the company's service orders and vendors.
Must Meet and Maintain These Requirements:
>Must be LEGALLY able to work in the United States and be over 21 years of age.
>Must understand, speak, read and write English and Spanish.
>Must know MS Word, Excel, & Outlook E-Mail as well as Google searches.
>Able to follow directions and use common sense. Be solutions focused.
>Be organized, articulate and responsible, focused on SOLVING CLIENT NEEDS.
>Well groomed, professional, responsible, and work with little supervision.
>Have excellent work ethic, quality and detail work and advanced customer service skills.
>Organized and articulate in communicating.
>Experience in a Service industry or Facilities setting is a PLUS.
