We are seeking an Office Manager to manage the physical and human resources functions of the firm. The successful candidate will ensure that the office operates smoothly and efficiently for the provision professional accounting and tax services. The position is onsite not remote. Physical Resource Management Responsibilities:
Ensure that the office information technology infrastructure (broadband, server connection, availability of applicable applications) is fully functional during office hours.
Maintain professional appearance of office at all times
Ensure that all common areas and personal workspaces are kept neat and free from trash.
Manage the cleaning and/or repair services as needed to ensure that furniture, floor coverings, wall coverings, and other decorative features are clean and free of visible damage.
Responsible fornegotiatingfavorable pricing and monitor contracts for the use of office space (lease), office equipment, telephone, broadband, software, IT support, shredding, storage, and postage and delivery services.
Ensure that office furniture and equipment (e.g., desks, file cabinets, phones, computers, copier/printers, etc.) are in good working order.
Maintain filing system for vendor bills & contracts.
Maintain inventory of office supplies.
Human Resource Management Responsibilities
Assist with recruiting efforts such as job posting, schedule interviews and ordering of background checks.
Coordinate on-boarding process of new personnel with external professional employment organization and ensure new-hire process is in placefor new-hire.
Employee ID to access the server and appropriate applications (and user-rights) thereon.
New employee workspace is clean and appropriately equipped for the applicable job functions.
Monitoremployee compliance with firm's policies and procedures and notify firm's senior management of non-compliant behavior by professional staff.
Provide trainingand coach administrative staff members and conductperiodic performance evaluations.
Client Service Management Responsibilities
Responsible for new client set-up and follow-up responsibilities such as timely deliverables to clients (e.g., tax documents, paper file, email, secure portal, etc.)
