Scent of Heaven Cleaning Services LLC. and Prichard Industries is looking for an experienced supervisor. Individual must have reliable transportation, a drivers license, and social security card as well as possess the ability to speak English and Spanish fluently (bilingual). This candidate must be able to know how to use a computer and prepare spreadsheets accurately.
Supervisor Responsibilities
Payroll
1. Keep accurate records of hours worked and timesheets of all subcontractors and the building they have worked during
each for pay period. The timesheets must be submitted to management the day after the pay period ends - this is
extremely important in order for all subcontractors to be paid on time.
2. The candidate must fill in at a building if short staffed at that building and you are unable to find a replacement that
day.
3. Analyze hours worked by subcontractors and reduce hours if necessary in order to keep payroll down.
Staffing:
1. Candidate is responsible to continuously look for excellent talent and the areas (location) they are looking for work. A
spreadsheet must be accurately maintained at all times.
2. Candidate must have good social skills in order to hire new subcontractors. This individual must interview and staff
buildings that are short staffed. You will need to cover buildings that are short staffed until you find the replacement.
3. It is vitally important that subcontractors who perform poorly or have excessive absenteeism are relieved of their
duties and a replacement is found immediately. Please remember at all times be professional, respectful, fair as well as
firm when dealing with all staff. The staff is essential for the success of the business.
Quality Control
1. Please develop a daily activity planner with the date and sites that are going to be inspected. This activity
planner must be submitted to management the night before, no exceptions. A weekly planner must also be prepared
and submitted to management on Friday evening. These planners need to be followed and not deviated (only
deviations are allowed if emergencies occur or complaints arise and are needed to be addressed immediately).
2. A completed task sheet with all the details of your work must be submitted to management at the end of each shift.
The more information on your task list the better, please be specific and detailed.
3. Please document and forward information (to management) about subcontractors who you feel are not performing well
and need retraining. Open communication with management is of upmost importance.
4. A minimum of three (3) inspections of buildings daily is required. If there are deficiencies, please correct them
immediately. Communicate with staff the deficiencies. Please do this in a delicate and professional manner. The
building must be reinspected within two (2) days to insure staff understands the deficiency/deficiencies.
5. All supply rooms need to be examined when inspection occurs to said building. The detailed inspection form must be
submitted to management at the end of your shift.
6. All equipment must be operational and ready to go for the floor technicians nightly, as well as all supplies provided to
make sure they are ready for their work at night.
7. Examination of policy & procedures such as safety, cleaning, clocking in/out, equipment usage/maintenance, proper
chemical usage is necessary.
8. Complaints are to be followed in the following manner:
Visit building ASAP!
Validate complaint.
Correct deficiency/deficiencies immediately (do not wait for staff).
Retrain staff when they are present at the building.
Document situation with date/ time and details - please be extremely specific (more information is always better).
Implement new policy and procedure with the direction of management to prevent recurrence of the problem.
Communication
1. Submit detailed daily inspection report.
2. Communicate in writing (via text/email) and reason that impedes staff from completing their duties at any time.
3. Communicate to management in writing supplies and/or equipment needed - please keep inventory of supplies. Do not
wait to tell management supplies are needed.
4. Document staff absenteeism, resignations, terminations, new hires.
5. On new hires - Submit a clear picture of each and every page of completed application as well as a clear picture of ID.
6. Please respond to emails/ text messages from management.
7. Please respond to emails/ text messages from building managers.
