POSITION DESCRIPTION:Performs timekeeping duties. Performs administrative support duties and responsibilities assisting the staff. Creates memorandums, letters, spreadsheets, reports, presentations, and schedules consistent with approved formats as needed by staff.

Scans high volume documents (contracts and construction) for storage into the Electronic Document Management System (EDMS). Performs attribution, reviewing and indexing of electronic documents to properly catalog and file for viewing. Review’s attribution of scanned documents to ensure they are indexed appropriately and make final corrections as necessary. Provides assistance to staff members when required for obtaining files needed for their review and performs quality control reviews on scanned documents monthly.

Perform front desk receptionist coverage or any other area to promote and enhance the production level of administration overall; including communication/switchboard, security, customer service, information dissemination, administrative reports and other administrative support tasks as identified by the Office Operations Manager.

Assists the Office Operations Manager in the preparation of paperwork for recruitment, requisitions, selection, classification packages and performance evaluations. Coordinates with the District Human Resources office to assist employees with general human resource issues including but not limited to Family Medical Leave Act, Workers' Compensation.

Maintains storage room, monitors office inventory, and orders necessary office supplies. Orders janitorial supplies as needed and stocks the janitorial closets for the Administration (North & South) buildings. Monitors and maintains conference rooms daily for supplies and set-up.

Process invoices/warrants in accordance with provisions and requirements of Section 215.422. F.S. Prepares and processes fiscal paperwork for purchases made by Electronic Procurement Requisitions, Local Purchase Orders and Purchasing Card charges in Florida Accounting Information Resources subsystem (FLAIR) according to current directives and procedures.
