This is a combined position of Receptionist, Administrative Assistant and Marketing Support. Receptionist duties at our office allow time for other roles such as Administrative Assistant/Marketing Support, and a good candidate for this job is someone who enjoys working in a professional office environment, likes to be busy and have a variety of tasks.
Cheerful Attitude, Professional Appearance and Willingness to help with duties as assigned.
Proficient in Microsoft Office Suite including Outlook, Word and Excel as well as light accounting duties
Must have strong interpersonal skills, excellent grammar skills and the ability to create and edit documents
Must be Punctual, Self Motivated and have the Ability to multi-task and meet deadlines
Must be organized and energetic, with a positive attitude and can think of the team members as both colleagues and clients you want to serve well
Quality in all aspects of what we do is key to our business and must be important to the successful candidate
The successful candidate will work with our administration and staff to perform such roles as:
Receptionist
Welcome visitors at the front desk in a friendly and helpful manner
Prepare conference rooms for meetings, meals, and presentations, taking pride in a well prepared meeting space
Answer the phone and assist callers politely - always ready to help in a professional manner
Responsible for handling all out-going and in-coming mail include FedEx and other shipments
Track and order office supplies to our teams have what they need
Prepare documents for mailing and other forms of distribution, to help us meet our schedule commitments.
Administrative Assistant
Ability to learn new software quickly and efficiently with an attention to detail
Job set-up in our Accounting system and assistance with the preparation of the Project Plans and Budgets
Excellent Communications skills in working to develop both Customer Quotes as well as Vendor purchases
Data entry and editing of staff Timesheets and alerting staff when quoted project time is approaching budgets
Assist with bi-weekly client billing, Accounts Receivable Collections and handling initial customer issues
Meeting preparation, note taking and documentation
Distribution of materials and documents via a variety of electronic and physical means
General office administration tasks of all sorts
Other duties as assigned
Marketing Support
Work with Sales Team to help with Social Media Postings
If skills are available, help design and implement website updates
Help schedule Marketing Email Blasts
Help schedule Trade Show activities
Provide general support for Sales efforts
