Office Manager Responsibilities (40 Hours/Week)
Administrative & Scheduling Support
Manage technician and sales team calendars, ensuring coverage for inspections and follow-ups
Coordinate structured scheduling for stipend-based roles and track productivity benchmarks
Confirm appointments with homeowners and adjuster meetings
Maintain digital and physical filing systems for job documentation, photos, and agreements
Intake & Client Communication
Answer inbound calls with empathy and professionalism
Use branded intake scripts to qualify leads and document property damage scenarios
Route calls to appropriate team members (inspectors, project managers, adjusters)
Follow up with client's post-inspection to confirm next steps or paperwork needs
Compensation: Negotiable on experience
Documentation & Workflow Oversight
Assist with compiling inspection reports, scope sheets, and restoration agreements
Track signed agreements and commission eligibility for field staff
Monitor job progress and update CRM or workflow tools with status changes
Prepare and submit weekly productivity reports for stipend roles
Office Operations & Supplies
Maintain inventory of printed materials (leave-behind cards, scripts, forms)
Order supplies and manage office cleanliness and readiness for team use
Coordinate access to printers, scanners, and shared resources
Track monthly gas allowance submissions and receipts
Team Coordination & Culture Building
Support onboarding of new hires with branded training materials and scheduling
Help organize team meetings, recognition moments, and year-end wrap-up events
