We are a well-established, highly respected holistic functional medicine and acupuncture practice in Vero Beach, dedicated to providing patient-centered care in a professional and collaborative environment. Our practice is fast-paced, with multiple practitioners serving a diverse patient base. We strive to maintain an organized, efficient, and supportive space for both patients and staff.

We are seeking an experienced, decisive, and solution-oriented Office Manager to oversee daily operations, support the staff and practitioners, and ensure a seamless workflow. The ideal candidate is a strong leader who holds employees accountable, makes independent decisions, and takes action to resolve challenges quickly and effectively.

What You’ll Do:

Manage a fast-paced office with multiple practitioners, ensuring efficiency, professionalism, and a well-organized environment.

Hold staff accountable with clear expectations and consistent follow-through.

Manage scheduling, patient flow, and staff coordination to maintain seamless operations.

Handle office bookkeeping and financial tasks using QuickBooks, including invoicing, expense tracking, and reconciliations.

Address challenges proactively—including staff issues, last-minute schedule changes, and patient concerns.

Make confident decisions without requiring constant input from upper management.

Ensure compliance with office policies and operational procedures.

Foster a positive and professional workplace culture that balances efficiency with staff morale.

Requirements:

Prior experience in office management, leadership, or operations (preferably in healthcare, wellness, or functional medicine).

Proven ability to manage staff, resolve conflicts, and enforce office policies professionally.

Experience handling scheduling changes, patient interactions, and operational challenges in a fast-paced setting.

Strong time-management, organizational, and problem-solving skills.

Ability to take initiative and make decisions independently without relying on upper management for every issue.

Experience with QuickBooks for office bookkeeping and financial management.
