Work is performed under the supervision of the Senior Community Health Nursing Supervisor. This position requires independent judgement, initiative, application of general knowledge of business practices, and skill in applying instructions to accomplish various job functions. Works in a multi-cultural fast-paced environment under stressful conditions, with the ability to adapt to constant change. Mult-tasking is a frequent requirement, as well as being able to follow a change in directive quickly. Strong customer service skills are needed, including the ability to stay calm and remain polite when dealing with upset customers.

This position may view, enter, update, and/or release information in all confidential data sets. Position will have access to various county vehicles, including the mobile immunization unit.

Performs all aspects of client registration in both HMS and FL Shots with accuracy and completeness. Determines eligibility and any financial responsibility for services. Obtains accurate demographic and financial information from multi-cultural clients. Explains the eligibility process to clients and refers to appropriate public assistance agencies as needed. Accurately registers clients by completing all necessary screens in HMS according to the “direct client services manual” as specified by FDOH, Palm Beach County, but not limited to verifying and updating client personal/demographic information, financial and insurance information. Processes clients efficiently to assure a consistent flow of clients to the immunization nurses. Initiates the appropriate superbill, registration forms, initiation of services, copies eligibility papers and other appropriate papers received. Initiates medical records on all new clients in HMS and FL Shots. Reviews data for accurate and completeness. Identifies clients that need to be processed for prepayment of services and effectively communicates the collection policy. Schedules, cancels, and/or reschedules client appointments appropriately. Verifies any new client registrations are linked between HMS and FL Shots. Follows current protocol on merging duplicate records. Responsible for the transcription of immunization records in various languages. Provide translation services to nurses, other clerks, and clients as able.

Responsible for immunization billing as indicated. Responsible for transporting registration forms and other confidential client information from outreach sites to secured area. Responsible for equipment such as, but not limited to, state cell phone, laptops, and printers.

Rotates as the immunization outreach driver and adheres to the process outlined in the “Immunization Driver Responsibilities” list. Notifies supervisor or team lead if any issues arise.

Provides clerical assistance such as data entry, copying, faxing, e-faxing, filing, typing, and editing correspondence with accuracy. Follows procedures/protocols for correspondence both inside and outside of the agency (FDOH, Palm Beach County). Works with team members to complete immunization portal requests within 24-48 business hours. May be called upon to create and distribute outreach calendars or fliers, getting appropriate approval before distribution. Archives registration forms—shreds when approved by medical records policy—to ensure immunization records are current according to the state protocols for active and inactive records. Maintains records in secure area for required amount of time. Inputs immunization information and statistics into various databases as required. Answers incoming phone calls and transfers to appropriate staff person and/or department. Directs and responds to general inquiries from the public regarding services provided.

Participates in departmental meetings, quality assurance, and/or other in-service trainings. Completes annual agency-mandated trainings.

Incumbent may be required to work before, during and/or beyond normal work hour or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
