Jojo Sheet Metal & HVAC Inc. is a fast-growing HVAC contracting company specializing in
commercial and residential construction projects across South Florida. We install and
service ductwork systems, rooftop units, and complete HVAC solutions. As we continue to
grow, we’re looking for an organized and detail-oriented Administrative Assistant to help
manage daily office operations and support estimating and project management.
Position Summary
The Administrative Assistant will provide clerical and administrative support to the office
and field team. This position is ideal for someone with strong organization skills, good
communication, and the ability to handle multiple tasks in a busy construction office.
Key Responsibilities
Answer and route phone calls, emails, and client inquiries
Prepare and organize job files, invoices, and project documents
Assist with scheduling jobs, permits, and inspections
Support estimating by organizing bids, plans, and subcontractor quotes
Maintain company records, spreadsheets, and vendor contact lists
Track and order office and field supplies
Help prepare proposals and reports for clients
Support payroll and timesheet collection
Communicate with suppliers and clients regarding deliveries and schedules
Requirements
Prior administrative or office experience (construction or HVAC preferred)
Proficiency with Microsoft Office (Word, Excel, Outlook) or Google Workspace
Strong written and verbal communication skills
Detail-oriented and able to prioritize multiple tasks
Reliable, punctual, and professional demeanor
Bilingual (English/Spanish or English/Creole) is a plus but not required
