Executive Assistant (EA)

In this role, you will provide dedicated support to the owners, handling tasks such as scheduling, communication, and organizing key documents. This position requires excellent attention to detail, strong organizational skills, and the ability to manage multiple priorities efficiently. You will work closely with the owners to ensure they have the support they need to focus on growing the business. General Responsibilities & Job Duties:
Manage the CIO and COO’s calendars and coordinate scheduling with internal and external clients, ensuring efficient time management for both executives, including meetings and appointments.
Plan and organize weekly and monthly meetings, ensuring that both the CIO and COO are prepared with agendas, meeting materials, and relevant documents.
Research, prioritize, and follow up on incoming requests directed, including sensitive or confidential issues, and determine the appropriate course of action, referral and response.
Handle confidential and sensitive information, such as data related to projects and always maintaining discretion.
Assist with special projects led by the CIO and COO, providing support and taking on additional responsibilities as your skills evolve.
Prepare and edit documentation such as agendas, reports, memos, and correspondence, while also ensuring that meetings are effectively planned and executed.
Ensure that the CIO and COO understands the daily priorities presented by the internal and external team.
Manage a high volume of email traffic.
Note: This is a non-management position and it is not a job that can be done remotely.
Competencies Requirements:
Software Proficiency: Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint) for document preparation, data organization, and presentation creation. Comfortable with Adobe PDFs for document editing and formatting.
Calendar Management: Expertise in managing complex calendars across multiple time zones, ensuring efficient scheduling of meetings, appointments, and events. Strong ability to anticipate scheduling conflicts and prioritize effectively.
Communication: Strong verbal and written communication skills, able to effectively interact with internal and external stakeholders at all levels. Capable of drafting clear, concise, and professional correspondence, reports, and meeting agendas.
Confidentiality and Discretion: Ability to handle highly sensitive and confidential information with integrity and discretion, especially related to projects, personnel, and financial data.
Organizational Skills: Proven ability to prioritize tasks, manage multiple responsibilities simultaneously, and maintain attention to detail in a fast-paced environment. Strong organizational and time management skills.
Problem-Solving and Decision-Making: Excellent problem-solving abilities, able to assess situations quickly and determine the appropriate course of action. Skilled in managing and responding to high-priority issues with minimal supervision.
Project Management: Strong ability to assist with and manage special projects led by the CIO and COO, ensuring timelines and objectives are met. Able to adapt to evolving responsibilities as new tasks are assigned.
Travel Coordination: Experience coordinating domestic and international travel, including flights, accommodations, and ground transportation, ensuring compliance with company policies.
Attention to Detail: Ability to prepare and review documents with a high level of accuracy, ensuring that all materials are properly formatted and free of errors before submission to senior leadership.
Email Management: Capable of managing a high volume of email traffic, prioritizing messages, and ensuring timely responses to critical inquiries. Skilled in keeping both executives informed of important developments.
CRM Database: Experience using CRM systems to extract data, generate reports, and provide insights for leadership, ensuring that information is accurate and up-to-date.
Self-Motivation and Independence: A self-starter who can work independently, take initiative on projects, and efficiently manage time with minimal oversight. Able to stay proactive and organized in a dynamic, fast-moving environment.
Work Experience - Preferred:
Experience: 2 to 4 years of Assistant Experience.
Language: Full knowledge of English. (Advanced)
Administrative Experience: 2 years of experience.
Industry: Coming from the financial industry is a plus.
Note: This is a full-time position with working hours from Monday to Friday, 9:00 am to 5:00 pm.
Compensation:
The payment range for this position may vary based on factors such as experience, education, and additional responsibilities.
Starting pay for this role ranges from $15.00 to $24.00 per hour.
