Fast-growing international shipping and logistics company specializing in freight forwarding from China and Miami to Latin America. We are looking for a motivated, organized, and bilingual (English/Spanish) receptionist ( receptionist to start and then office position ) to join our dynamic team. Responsibilities include :
Air & Ocean Freight Coordination:
Manage all import/export activities including quotations, booking, documentation, data entry, shipment tracking and tracing, billing, and delivery arrangements.
Inland Freight:
Oversee and coordinate nationwide inland freight, ensuring timely and efficient deliveries.
Documentation & Compliance:
Prepare and manage all necessary documentation such as the Shipper Export Declaration (SED), invoices, and AWBs, ensuring accuracy and compliance with US Customs, IATA, and Transport USA regulations
- Greet and welcome clients, visitors, and partners with professionalism.
- Manage phone calls, emails, and communications in both English and Spanish.
- Handle and coordinate general office tasks such as scheduling meetings, managing office supplies, and handling inquiries.
- Assist in administrative duties related to logistics, including shipment tracking, documentation, and customer follow-ups.
- Support the freight forwarding team with essential clerical work, such as managing shipping paperwork, invoices, and updating client information.
- Help resolve customer issues with efficiency and professionalism, ensuring a high level of client satisfaction.
- Multitask and prioritize responsibilities in a dynamic, fast-paced office environment.
Qualifications :
- Bilingual (English and Spanish) – verbal and written proficiency is required.
- Previous experience in freight forwarding, logistics, or a related industry.
- Strong multitasking abilities and excellent organizational skills.
- Professional phone etiquette and strong interpersonal communication.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Detail-oriented and able to handle sensitive information discreetly.
