SUMMARY: The Accounting Clerk I will provide technical services using clerical skills to assure the Accounts Payable functions for the company are met and properly recorded on the financial records; and performs administrative support and assistance in the processing of information for management. The Accounting Clerk will also assist at the Scale weighing outgoing and incoming vehicles.

ESSENTIAL DUTIES & RESPONSIBILITES:

Issue purchase orders, maintain purchase order log, and verify all purchase orders for proper authorization.

Open mail daily and check invoices against open purchase orders, distribute copies of unmatched invoices to ordering department.

Periodically check outstanding invoices and take steps necessary to make epayments.

Enter data into the computer, match purchase orders and invoices for back-up, verifying coding to general ledger.

Obtain required approval for all purchases and expenditures.

Prepare Accounts Payable listing of open invoices and manual checks for management.

Print regular and manual checks, record check numbers and date on invoices and payment requests, prepare checks and vendor copy of invoices for mailing, and mail payments. .

Prepare a monthly reconciliation of outstanding Accounts Payable to the General Ledger.

Perform daily bank deposit.

Answers telephone, directs calls, and takes messages.

Operate scales to weigh incoming and outgoing vehicles at any of the company facilities; determine appropriate charges for vehicle/customer entering facilities; enter data into computer.

Receive and count money, make change and prepare related reports; balance the till daily; assure charged transactions are signed according to established procedures.

Assist customers on product selection, purchasing, and order processing.

Coordinate customer deliveries and orders; manage order board as directed by supervisor.

Performs other related duties as assigned.

REQUIRED SKILLS:

Operate a computer terminal to enter data, maintain records and generate reports.

Record-keeping techniques.

Basic math and cashiering skills.

Work courteously and tactfully with customers and associates.

Demonstrate competence in a limited supervisory role.

Ability to learn Microsoft Excel and MS Word for Windows.

Ability to learn an automated Accounts Payable and Purchase Order System.

EDUCATION/CERTIFICATION/EXPERIENCE/OTHER:

Any combination equivalent to graduation from high school and one year of book keeping experience.

Ability to accurately type a combination of letters and numbers at least 40 wpm.

Basic skills in accounting, 10-key calculator, typewriter, and computer data entry.

The Accounting Clerk operates office machines in an indoor office environment and may be required to push, pull, lift, and/or carry 35 pounds or more.

The noise level in the work environment is usually moderate, while the work pace can be fast and phone call volume can be heavy.

When communicating with others via e-mail or preparing reports, Accounting Clerks operate office equipment requiring repetitive arm/hand movements.

Vision abilities required by this job include close vision and the ability to adjust focus.
