About Hawaii Youth Symphony (HYS):

Each year HYS serves more than 750 children on five islands and produces and presents more than 40 orchestra, jazz, and ensemble concerts per season and 20 programs with a budget of $1.5 million and 20 employees.

Overview

Reporting to the President, the Finance Manager contributes to Hawaii Youth Symphonys strategic planning, implementation, and assessment through the production of financial reports and analysis. The Finance Manager oversees all accounting, treasury, human resource, and technology functions, and supports the finance and investment committees, advancement, program and operations functions.

The ideal finance manager has a strategic and proactive approach and will propose and implement reports, analyses, processes, and controls to improve financial, operations, and program outcomes.

Management Responsibilities

Lead accounting and finance functions; provide reports and analysis to inform and improve strategic outcomes.

Prepare, present, monitor, and report on the budget to management, finance committee, and board of directors.

Work with the auditors; prepare schedules for the audit and IRS Form 990, work with the field auditor; schedule the draft and final audit presentation to the finance committee and board of directors.

Perform treasury duties; work with investment advisors and bankers; schedule and prepare quarterly investment committee meetings and reports.

Supervise the administrative assistant to ensure accurate and complete data entry into accounting and fundraising databases.

Manage contractors, contracts, and grant contracts; adhere to billing or invoicing, collection or payment, and reporting schedules to meet contract and cash flow requirements.

Manage financial aid, scholarship, and travel assistance program.

Manage online payment gateways, merchant service, credit card accounts, PCI compliance and integration with internal software.

Ensure proper internal controls and compliance with Financial Accounting Standards Board (FASB) financial accounting and reporting standards.

Manage human resources.

Accounting and Finance

Prepare accurate and timely financial statements, management, variance, and annual reports, cash flow projections, and model financial scenarios as needed.

Recommend and report on benchmarks and key performance indicators to measure organizational performance.

Produce financial reports for grant funded programs, in accordance with grant requirements.

Manage and process monthly general journal entries, payroll, payables, receivables, bank and investment account activities, and depreciation schedules.

Perform month-end closing procedures, including overhead allocations, account and bank and investment statement reconciliations.

Submit federal and state tax filings including IRS 1099 Misc and Hawaii General Excise Tax (GET).

Work with ALTRES to administer payroll in a timely and accurate manner.

Ensure accurate student registration records and tuition payment; prepare timely registration reports for operations and program staff.

Create and administer online registration forms and data imports and exports for advancement and accounting purposes.

Manage and renew business insurance policies and claims.

Maintain an orderly accounting and personnel records filing system.

Maintain corporate registrations.

Advancement

Manage registrations for federated giving programs (e.g. AUW, CFC, GiveAloha, etc.).

Support the president in the preparation of grants compliance, reports, and reconciliation.

Assist with preparation of annual report and other fundraising documents.

Coordinate donor acknowledgment letters; provide donor lists and data displays for program books and annual reports.

Human Resources

Maintain personnel records as required by federal and state laws.

Be the point-of-contact for the professional employer organization, Altres; prepare and post job descriptions and applications on Altres HR Symphony platform.

Manage annual benefits enrollment; distribute salary and benefits information to staff.

Provide administrative support to the President in hiring, onboarding, and terminating employees.

Prepare salary and benefits surveys.

Ensure appropriate support and training for front of house volunteers.

Operations and Program Support

File BMI/ASCAP/SESAC reports.

Oversee tabulation of audition scores; enforce confidentiality among scorers and applicants.

Manage office technology, software installations and updates.

Order office supplies; oversee equipment repairs and maintenance.

Follow and implement document retention policies and practice.

Assist with general office tasks, including phones, guests inquiries, etc.

Other duties as assigned, occasional work in evenings and weekends to support programs.

Qualifications

Minimum of a bachelors degree, finance or business degree; MBA or commensurate experience is a plus.

At least seven years of professional experience; with three or more years of financial, accounting, and operations management experience. Experience in the nonprofit sector is a plus.

Grants management experience desired.

Experience managing office technology, software, and technology vendors.

Experience using Abila MIP Fund Accounting and Fundraising 50 software and Microsoft Office Suite; possesses excellent spreadsheet skills.

Able to set priorities; keen analytic, organization and problem-solving skills.

Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders in a fast-paced work environment.

Able to communicate the financial position and direction to staff and board members who do not have a financial and accounting background.
