Location: Hilo, HI

Hours: Monday through Friday, 7:00 AM - 4:00 PM

Pay range: $18-22/hr depending on experience

Job Description:

As an entry level Office Administrative Assistant at Reflections Glass Hawaii, you will be the welcoming face and voice of our Hilo branch office. This position requires a person that is organized, personable and detail-oriented. The Administrative Assistant will coordinate various office tasks and functions to ensure office operations always run smoothly. Tasks include, but are not limited to front desk management, answering phones, maintaining office and shop supplies, and maintaining various logs and spreadsheets.

Responsibilities:

Answering and routing phone calls in a courteous and professional manner.

Welcome walk-in clients and assist as able.

Handling incoming inquiries, passing off to appropriate team members.

Communicating via email to staff, vendors, and clients.

Managing digital and physical job files, ensuring accurate and organized records.

Performing data entry tasks with attention to detail and accuracy.

Assisting with inventory management of office supplies, ensuring adequate stock levels.

Sort incoming mail and prepare outgoing mail and packages.

Assist with scheduling fleet maintenance, service, and inspection as needed.

Arrange travel accommodations as requested.

Assisting with additional tasks as assigned by management.

Managing sales orders.

Managing and tracking incoming material.

Requirements:

High school diploma or equivalent.

Proficiency in Microsoft Office applications (Word, Excel, Outlook).

Strong computer literacy and ability to quickly learn new software.

Excellent communication and interpersonal skills.

Strong organizational skills and attention to detail.

Ability to multitask and manage time effectively.

A professional and friendly demeanor.
